About the role
  • Ensuring the smooth running of the GMG Buildings and undisrupted operations.
  • Coordination of the HO operational matters such as maintaining cleanliness and maintenance works.
  • Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Management and coordination of the Company landlines and Revo
  • Maintaining and managing complex Telecommunications (landlines) database tracker of the Company and monthly bills.
  • Admin Warehouse management support on SAP.
Core Responsibilities:
  • Managing the GMG building staff consisted of receptionists and office assistants and scheduling their duties on a daily basis.
  • Maintaining time management for receptionists and office assistants including Overtime submission and Keeping track of Head Office operations for reports and updates.
  • Monitoring the daily Head Office operational activities and ensuring the smooth running of the office.
  • Ordering of Stationary, Pantry, Cleaning and Water supplies for the GMG Head Office and maintaining material consumption rate and inventory status.
  • Monitoring Office Assistants, cleaners and gardeners if they are well groomed.
  • Coordinating HO Operational activities, such as Pest Control, Cleaning Services, and Sanitization of the floors and all the touch points of the building during COVID.
  • Checking all the storage rooms to see if they are well-organized and kept clean and in neat condition.
  • Providing furniture such as chairs, tables, and wooden cabinets to new employees and stationery kits to the new joiners.
  • Checking on the maintenance of the HO building and ensuring that they are working properly, such as A/c, building Lights, lifts and Elevators: as well as coordinating Building Maintenance works like plumbing, maintenance works and similar in collaboration with the FM team.
  • Meeting room management including cleanliness, checking and ensuring that all meeting room devices are working and in order, such as Projectors, TV\'s etc.
  • Completing Clearance upon Employee\'s departure from the Company and signing the relevant forms related to stationaries and accommodation.
  • Able to Address employees\' and clients\' queries (via email, phone or in-person) with accuracy.
  • Monitor track and keep an updated record of company assets inventory (landlines).
  • Assist & support communications operations on a daily basis.
  • Implement and reinforce communications strategies and policies to further company objectives.
  • Create reports for cost-saving analysis.
  • Collate Bill Summary shared by Etisalat for the entire company BU\'s wise and segregated the accounts which have out of the bundle usage.
  • Responsible for reviewing and segregating business and personal charges (potential abuse).
  • Downloads individual pdf bill for accounts which has excess and identify the breakdown of these unauthorized transactions.
  • Creates the monthly list/report for landlines.
  • Prepare the final deductions (identified potential abuse) and send them to the respective Finance Team for further necessary action.
  • Evaluate bills based on actual usage and recommend a cost-saving plan package to the User.
  • Performs full responsibility & accountability to handle all tasks in Communications (including clearance completion) in the absence of the person in charge.
  • Assist & support communications operations on a daily basis.
  • Implements and reinforces communications strategies and policies to further company objectives.
  • Inventory management over SAP for Admin Warehouse.
About the requirements
  • 2-3 years of relevant experience
  • High School Diploma or University Degree
Language Skills
  • English (written and verbal)
