Job Description

We are looking for a mid-level full-time Purchasing executive cum office administration knowledge with a minimum of 5 years of experience in the fit-out industry who will be working in our office in Um Al Quwain, UAE. Responsibilities as Procurement Executive: \xe2\x88\x99 Responsible for all and complete procurement activities for Fit out, joinery. \xe2\x88\x99 A complete knowledge of the full P2P cycle. \xe2\x88\x99 Compare and evaluate three offers from suppliers and a bid summary must be created with complete details for approval from management. \xe2\x88\x99 Negotiate contract terms of agreement and pricing. \xe2\x88\x99 Maintain track of all orders and ensure timely delivery. \xe2\x88\x99 Get original delivery notes and tax invoices from the site/workshop upon delivery and from suppliers upon collection of materials. \xe2\x88\x99 Should be capable of managing projects in procuring materials within the given period. \xe2\x88\x99 Sourcing and selection of suppliers/sub-contractors & Implementing standards and grade performance of vendors and quality management in the procurement process. \xe2\x88\x99 Develop and manage a detailed procurement schedule per work and project schedules. \xe2\x88\x99 Communicate with the production manager & CEO every day for any materials purchase request. \xe2\x88\x99 Avoid cash purchases and work more on credit facilities from the suppliers. \xe2\x88\x99 Collect all the documents related to purchasing (completion certificate/delivery notes/approve LPO/invoice /warranty certificates/others) and submit them to the accounts department. \xe2\x88\x99 Must check the store and contact site before placing any order and avoid purchasing extra materials and check excess materials to return. \xe2\x88\x99 Must not procure any items or materials without approval from management. \xe2\x88\x99 Work closely with the site team, operations department, and account department to complete the work on time. \xe2\x88\x99 Prepare and submit weekly accurate materials procurement report. Responsibility as Office Admin \xe2\x88\x99 Acting as the first point of contact, greeting and receiving visitors; \xe2\x88\x99 Answering and directing phone calls; \xe2\x88\x99 Write and distribute emails, correspondence memos, letters, faxes, and forms; \xe2\x88\x99 Assist in the preparation of regularly scheduled reports; \xe2\x88\x99 Develop and maintain a filing system as well as monitor office stationery/supplies; \xe2\x88\x99 Maintain contact lists; \xe2\x88\x99 Prepare documents for visa application; \xe2\x88\x99 Provide secretarial and administrative support to management and other staff; \xe2\x88\x99 Maintain confidentiality of company information; To perform other related work Must work on all MS Office applications, Emails. Must follow corporate and company policies.
