Alchimie Fragrances is expanding and looking for a
highly skilled, organized, and proactive Admin / Business Coordinator
to support our production and trading operations.
Role Overview
You'll coordinate day-to-day business operations -- production tracking, supplier communication, purchasing, shipping, and reporting -- ensuring smooth workflow between departments, vendors, and management.
Key Responsibilities
Manage purchase orders, quotations, and supplier follow-ups
Track production schedules, deliveries, and inventory levels
Coordinate with logistics partners, warehouses, and customs agents
Prepare export/shipping documentation (invoices, packing lists, COOs)
Update ERP and Excel trackers with accurate product and cost data
Support financial and administrative reporting (payments, invoices, reconciliations)
Maintain organized records and assist management in decision-making
Requirements
Minimum 3-5 years' experience in
admin, coordination, or operations
within production/trading/FMCG
Excellent communication and organization skills
Strong command of
Excel
and
ERP/Zoho
systems
Knowledge of
import/export procedures
and documentation
Fluent in English (Arabic is a plus)
