We seek a highly organized and detail-oriented Real Estate Administrator to support our real estate team with administrative, clerical, and operational tasks. The ideal candidate will help ensure smooth day-to-day office operations and assist agents with transaction coordination, document management, and client communications.
Key Responsibilities:
Maintain and manage real estate transaction files, ensuring compliance with regulatory requirements such as AML, VAT, & Auditing.
Ensure document compliance with AML regulations for all Clients, such as KYC Form and Client Screening on websites and links provided by AML.
Prepare and quarterly file for VAT Return through the FTA Portal
Keep Updated Records of Office Cash Flows by collecting Tax Invoices & Receipts for all expenses and Preparing Invoices and Receipts for Sales Commissions.
Timely and Consistent Follow-Up for Sales Commissions.
Track and follow up on transaction deadlines and ensure timely completion of tasks.
Provide administrative support to agents and brokers to ensure efficient office operations and transactions.
Manage office supplies, databases, and general clerical duties.
Manage phone calls and correspondence (e-mail, letters & etc.)
Update Calendars and schedule appointments and meetings for the CEO.
Prepare and process real estate documents such as MOU, Form I, A, B & F.
Coordinate and Register with all Developer's for the Agency Agreement & Marketing. NOC.
Input and update property listings in Dubizzle, Bayut & Property Finder.
Process Trakheesi Permit for Marketing Campaign and Listings through DLD Portal.

Bachelor's degree (Business Administration is plus factor)
At least 2 years of experience in a real estate office or administrative role is highly desirable.
Knowledge of real estate terminology, transaction processes, and relevant software and Accounting System (e.g., DocuSign, Microsoft Office Suite, QuickBooks & CRM).
Excellent communication, organizational, and multitasking skills.
Strong attention to detail and ability to meet deadlines.
Ability to work independently and as part of a team.
Salary and Benefits:
5000 AED - 6000 AED
