We are currently recruiting for an Account Manager - Accommodation to join our Accommodation Services and Projects team in our Headquarters, located in Transguard AQ 14.
Scope: Account Manager - Accommodation Services and Projects is responsible for safe, efficient, and financially effective accommodation support services within budgetary guidelines. This role involves managing administrative staff, developing policies and procedures, and coordinating with other departments and suppliers to support organizational goals. Responsible for the entire operations of all T-Mart branches, supporting their expansion and ensuring that they remain profitable, safe, and always run smoothly.
Key Accountabilities
T-Mart & Laundry Operations:

  • Oversee laundry operations with 41 staff, managing over 400,000; per month uniform washes across 18 locations contract invoicing.
  • Oversee 6 T-Mart (minimart) operations with 19 staff, generating annual profit.
  • Manage 14 suppliers related to T-Mart
  • Responsible for preparing business cases for T-Marts/Kiosks for review and approvals.
  • 3 additional T-Marts in the pipeline, expected to increase profit by 50%.
  • Oversee monthly stock & inventory checks for all T-mart stores.
  • Verify the terms, prices, and contract renewal for each T-Mart supplier.
  • Frequent supplier meetings aimed at strengthening ties with existing vendors and supporting procurement to identify and vet new supply chains. Manage relationships with vendors and service providers, negotiating contracts and ensuring quality service delivery.
  • Review and authorize laundry error log, pushes for credit notes and recharges.
Administration Oversight:
  • Manage Time & Attendance (T&A) for 230 site-based staff, including roster adherence.
  • Review and authorize staff payroll and manage training and leave management of all the site-based staff.
  • Support BU tracking and implementation and update of SOPs & policies.
  • Serve as BU Champion for CSR, Continuous Improvement (CI), and Balance scorecard for 27 staff.
  • Responsible for Accommodation league report data, occupancy reports, BSC feedback and review with BU Head for further action and Monthly Performance Reports (MPR),
  • Purchase Requests (PR), Purchase Orders (PO), Service Request Forms (SRF), Employee Service Portal (ESP), Vacancy Request Forms (VRF), Deployment Forms (DF), different Organization charts,
  • Providing all the supporting reports for balance scorecard purposes for 27 Headquarter (HQ) staff for further action, maintains annual leave tracker for HQ and site-based staff, ensuring fleet Audit is 100% for the BU.
  • Manage BU procurement activities based on requests.
  • Maintain data accuracy for the salary and designation for the oracle data base for the BU staff.
  • Ensure no fines to the department from internal/external customers.
  • Apply lean method into place where applicable in the process for improvements and efficiency.
  • Representative for Internal and external Audits for QA team related to SOPs, BSC and T-Mart
Financial Reporting:
  • Responsible for finance reporting, including journal entries for the entire group (laundry, food, skips, and sewage), covering both actuals and accruals sharing the recharges information for entire group for Food and Laundry.
  • Examine and confirm the T-Mart and other vendors' invoices and rebates.
  • Evaluate T-Mart's monthly profit and cost of sales and sends monthly reports including purchase, sales and stock reports to finance.
  • Handle invoicing and reconciliations for Sublease Clients related to accommodation.
Escalation and Collaboration:
  • Focal point for escalations related to Payroll, HR, Procurement, and Finance departments.
  • Collaborate with vendors to meet contract SLAs and KPIs; raise Non-Conformance Reports (NCRs) when performance is subpar.
  • Responsible for providing Ad-hoc support to Senior Manager (Operations) & BU Head when required.
Selection Criteria
  • Minimum 10 years of experience required in the industry.
  • Diploma or bachelor's degree qualified
  • MS Office Suite, familiar to ORACLE
  • 10 years in Management role.
  • Lean Six Sigma / Project Management certification.
