Maintain and manage all incoming and outgoing documents, ensuring accuracy, proper filing, and retrieval.
Ensure documents comply with organizational policies, standards, and regulatory requirements.
Accurately input and update document details in the database or document management systems.
Distribute documents to relevant departments or personnel and track acknowledgment.
Track and maintain updated versions of documents, ensuring obsolete versions are archived or removed.
Handle sensitive documents with the utmost confidentiality and discretion.
Handle general administrative duties such as answering calls, managing correspondence, and scheduling meetings.
Organize and maintain schedules for managers, including arranging meetings and appointments.
Arrange travel itineraries, accommodations, and related logistics.
Prepare agendas, take minutes during meetings, and follow up on action items.
Ensure that the office is well-organized and supplies are adequately stocked.
Maintain both electronic and physical filing systems for easy access to records.
