Job Description

Job Summary:
The Telephone Operator is responsible for managing incoming and outgoing calls, directing calls to the appropriate personnel or departments, and providing general information to callers in a professional and courteous manner. The operator ensures smooth communication within the organization and assists with administrative tasks as needed.
Key Responsibilities: * Call Handling:

  • Answer, screen, and forward incoming calls promptly and professionally.
  • Provide accurate information to callers regarding company services, hours, and contacts.
  • Transfer calls to appropriate departments or individuals using a multi-line phone system.
  • Take and relay messages accurately when required.
  • Customer Service:
  • Maintain a polite and helpful attitude with all callers.
  • Handle difficult or upset callers with patience and professionalism.
  • Assist with general inquiries and direct visitors as needed.
  • Administrative Support:
  • Update and maintain employee contact directories.
  • Assist with scheduling appointments or conference calls if required.
  • Perform light clerical duties such as data entry, filing, and email correspondence.
  • Emergency & Security Protocols:
  • Follow emergency procedures when necessary (e.g., contacting security or emergency services).
  • Monitor and report suspicious calls or security concerns.
  • System Maintenance:
  • Ensure the phone system is functioning properly; report technical issues to IT.
  • Test phone lines and equipment periodically.
