To be responsible for the management, maintenance, configuration, and technical and functional support of the University of Sharjah's (UOS) Student Information System (SIS) (Banner) and other ancillary software applications. The role contributes to the University's mission to empower an agile, digital environment by ensuring technology is a strategic institutional asset and fostering a collaborative, human-centered, innovative, accountable, transparent, and inclusive culture. This position requires a blend of technical expertise, functional knowledge of Banner SIS, and an understanding of the educational sector.
MAIN ACCOUNTABILITIES & EXPECTATIONS
Operational Plans and Process Management
Assist the Head in creating and developing the unit's processes and procedures and ensure that team members follow and implement them correctly at all times.
Participate in developing the section's operational plans and contribute to execution in line with the department's strategy to support the achievement of the University's strategic objectives.
Provide input to enhance the processes and procedures that help implement the relevant best practices.
Follow all relevant processes, standard operating procedures, and instructions accurately to ensure that job tasks are carried out in a controlled and consistent manner.
System Administration and Maintenance
Monitor system performance and perform routine system administration tasks to ensure the reliable performance of university-wide SIS systems.
Coordinate, configure, install, and maintain new software releases, fixes, upgrades, custom code, scripts, and scheduled jobs.
Manage the servers where Banner SIS is hosted.
Ensure the integrity, accuracy, and security of student data within the SIS, adhering to university policies and data protection regulations.
Develop and implement data quality control measures and audits to identify and rectify data discrepancies.
Manage data access permissions and user roles within the SIS to maintain data security and confidentiality.
Evaluate and recommend new technologies and tools to improve the efficiency and effectiveness of the SIS.
Technical and Functional Support
Provide high-quality and timely SIS support using Banner backend tables, views, and queries.
Provide high-quality and timely SIS functional support using Banner forms.
Provide end-to-end application analysis and implementation support.
Provide ongoing technical support and troubleshooting assistance to SIS users.
Act as a point of escalation for complex SIS issues and coordinate with vendors for resolution.
Reporting and Analysis
Design and develop regular, customized, and ad hoc reports using different reporting tools.
Generate relevant reports and ensure that they are prepared timely and accurately and meet the department's requirements and standards.
Prepare schedule-related, workload-related, and student-history-related reports as needed for the Vice Chancellor for Academic Affairs' Office.
Leadership and People Management
Monitor day-to-day activities at the Unit and ensure that daily activities are executed correctly and efficiently.
Ensure that job tasks are distributed between team members fairly and professionally.
Manage, develop, and motivate the unit's team to build and develop their organizational capabilities.
Provide team members with development opportunities, such as training and coaching, and report on their performance.
Train, coach, and provide technical/practical expertise to the team members in the unit's processes to ensure they acknowledge and understand their responsibilities and tasks.
Supervise the effective achievement of the unit's objectives, set individual goals, supervise the team's performance, keep them updated and informed, and support their development to achieve overall objectives.
Assist the Head in the hiring process for the unit's team by identifying job requirements, sorting and reviewing candidate resumes, and contributing to the selection and interview process to ensure the best and most suitable candidates are selected for the available vacancies.
System Development and Enhancement
Collaborate with stakeholders to gather requirements for SIS enhancements and customizations.
Participate in the design, development, testing, and implementation of new SIS modules, functionalities, and integrations.
Operate the required software/hardware accurately and effectively.
Assist the head in planning and executing the department's projects that help support and improve the department and the university in general and assist in ensuring that the project team can complete their work tasks accurately and on time.
Strategic Planning and Vendor Management
Contribute to the development of the IT strategic plan as it relates to student information systems.
Ensure that SIS operations and projects align with the university's strategic goals and objectives.
Monitor industry trends and best practices in student information systems to identify opportunities for improvement and innovation.
Keep up-to-date with the latest industry trends, regulatory changes, and best practices in the market in order to improve the university's presence and implement any required administrative, technical, or functional enhancements.
Proactively seek out opportunities to build capability and identify where developing know-how can drive improved business outcomes.
Manage the relationship with SIS vendors (e.g., Ellucian), including contract negotiations, service level agreements, and performance monitoring.
Coordinate with vendors for system upgrades, maintenance, and support.
Evaluate vendor proposals and recommend solutions that meet the university's needs and budget.
Compliance and Governance
Ensure that the SIS complies with relevant regulations and standards (e.g., data privacy).
Assist in developing and implementing SIS policies and procedures to ensure data governance and compliance.
Participate in audits and assessments of the SIS to ensure compliance and identify areas for improvement.
REQUIRED SKILLS
Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
Banner System Knowledge: In-depth knowledge of Banner SIS modules. Understanding of Banner database architecture. Ability to configure, customize, and troubleshoot Banner SIS.
Oracle Database Management: Proficient in Oracle Database for managing the Banner system backend.
SQL and PL/SQL: Strong skills in SQL for querying and reporting. Proficiency in PL/SQL for creating custom scripts and procedures.
Data Migration: Knowledge of data migration techniques.
Server Management: Experience in managing servers (Linux or Windows).
System Installation and Configuration: Installation, setup, and configuration of Banner SIS and related components.
Performance Monitoring: Monitoring and optimizing system performance.
Data Security and Privacy: Understanding of data security best practices.
Integration with Other Systems: Experience in system integration using APIs or middleware. Understanding of file transfer protocols.
DESIRABLE REQUIREMENTS
Minimum of bachelor's degree in Computer Science, Information Technology, Information Systems, or a relevant discipline.
A master's degree in a relevant discipline would add an advantage.
Professional certifications related to Student Information Systems and/or Banner Students Information System would add an advantage.
10-12 years of UAE experience in a similar role, preferably in higher education institutions.
Priority is to UAE Nationals.
