  • Assisting the Director of Talent & Culture in the daily administration tasks.
  • Maintain confidential filling system for Heartists\xe2\x80\x99 files, records, trackers and documents, and ensure its adherence with the company\xe2\x80\x99s standards.
  • Follow up with the Talent & Culture team on the HR audit administration process to ensure that the department policies and procedures are in line with the ACCOR audit standards.
  • Daily check of Cafeteria, Notice Board & locker rooms and report maintenance in need immediately.
  • Assist new joiners to open bank account.
  • To keep an updated Master list and required system.
  • Deliver the necessary documents to be signed by the concerned departments.
  • Handle all Talent & Culture office supplies, maintain an up to date, accurate inventory of the T&C storage room.
  • Ensure employee birthdays are shared timely.
  • National Day celebrations.
  • Handle the majority of employee documentation, including contracts, recruitment paperwork, promotion and new joiner welcome packs.
  • Compose correspondence for the Director of Talent & Culture, such as letters, contracts, etc.
  • Handle lockers\xe2\x80\x99 requests, name tags, ID\xe2\x80\x99s, colleagues\xe2\x80\x99 letters, purchase & store requisitions, expense reports as necessary.
  • To ensure first aid supplies in the Talent & Culture office is replenished timely.
  • Assist Heartists for inquiries related to vacation, flight booking arrangements etc.
  • Handle all office administration duties such as mail, phones, photocopying and office supplies.
  • Support internal T&C projects, tracking necessary action and updating reports as progress is made.
  • Assist with and support Heartists\xe2\x80\x99 events and employees\xe2\x80\x99 relations matters.
  • Assist the HR team in the logistics of a variety of recreational programs and activities for the Heartists (i.e. departmental outings, fun days, mall trips, sports
  • Tournaments, karaoke, hotel beach cleanups, national day celebrations, fund raising events, etc.)
  • Maintain all communication boards on a daily basis to ensure it\xe2\x80\x99s complying with ACCOR standards.
  • Consistently offer professional, friendly and engaging service to the colleagues and leaders.
  • Redirect Talent & Culture related calls or distribute correspondence to the appropriate person of the team
  • Assist with other Talent & Culture functions and tasks as required.
  • Ensure the office is kept tidy and clean at all times.
Qualifications
  • Ability to develop and encourage an open, stimulating and trusting environment that reflects our Company Mission, Brand Promise and Values
  • Minimum of 1-2 years administration experience, preferably within a hotel environment
  • Highly responsible and able to handle confidential information with the utmost discretion
  • Highly organized and able to prioritize and meet deadlines in a fast-paced environment
  • Professional telephone manner and demeanor with a natural response to \xe2\x80\x98smile\xe2\x80\x99 on the phone
  • Excellent interpersonal, written and verbal communication skills University/College degree or diploma, preferably with a formal education in Human - Resources Management
  • Computer literacy a must, with a strong knowledge of Word, Excel, Word, Outlook and PowerPoint
