Job Summary



The Supply Chain Coordinator is responsible for end-to-end operational support across

pre-sales, sales, and post-sales activities

within the pharmaceutical business. The role supports regional operations covering

Turkey, the Levant, and other MENAT markets as required

, ensuring accurate tender handling, compliant order execution, timely deliveries, and complete post-sales documentation. The position plays a critical role in coordinating between customers, agents, global distribution teams, logistics partners, QA, and finance to ensure seamless execution in line with contractual, regulatory, and internal compliance requirements.

Key ResponsibilitiesPre-Sales Operational Responsibilities

Receive and review RFQs and tender requests from customers and agents. Verify pricing, product availability, technical requirements, and tender specifications. Prepare and submit RFQs/tender documentation within defined timelines. Record RFQ/tender details accurately in the RFQ tracker. Maintain and update the RFQ tracker on a regular basis. Coordinate internal approvals for

FOC (Free of Charge)

requests and

price deviations

, ensuring proper authorization and documentation.
Sales Operational Responsibilities

Receive confirmed customer orders and validate order details against approved tenders or contracts. Record all order details accurately in the sales/order tracking system. For NA markets, check available batches at HQ level and coordinate approvals with agents and customers to ensure delivery compliance with tender specifications. Align order deliveries with customer-requested timelines and contractual delivery windows. Submit orders to the Global Distribution (GD) team using agreed templates and required documentation, including signed DSPR forms where applicable. Receive, review, and confirm completeness and accuracy of document sets from the GD team. Provide clear instructions to the GD team regarding document content and legalization requirements. Secure local approvals for undertaking letters when requested by customers. Share finalized and approved document sets with customers in a timely manner. Coordinate dispatch activities, including pickup approvals with forwarders and DHL, ensuring customer-approved ETAs. Liaise with logistics partners (e.g., World Courier, DHL) to coordinate pickup dates and shipment movements. Update and maintain the sales tracker daily, ensuring alignment with the data warehouse and internal reporting systems. Track shipments and obtain

OK-to-Forward (OTF)

approvals when required.
Post-Sales Operational Responsibilities

Ensure issuance of accurate tax invoices, including correct customer details, product information, SKU, quantity, unit price, total value, FOC, discounts, and currency. Confirm invoices are issued within the correct financial period and shared with customers on time. Issue undertaking letters when applicable and record them in the order tracker. Manage alarm situations and coordinate release letters with QA teams and customers when required. Update unit performance templates with actual data on a monthly basis for reporting and analysis.

Preferred Attributes

Experience working with MENAT regional pharmaceutical regulations. Familiarity with tender-driven markets and government procurement processes. Proactive, structured, and process-oriented mindset. High attention to detail and strong documentation control. Ability to manage multiple orders, tenders, and timelines simultaneously. Proficiency in MS Excel and tracking tools; ERP experience is an advantage. Strong communication skills with customers, agents, logistics partners, and internal teams. Ability to work under pressure and meet strict deadlines in a regulated environment.
