to support our site team with administrative duties and document control activities. The ideal candidate will ensure proper management of project documents, correspondence, and site records while providing general secretarial support to the project team.
Key Responsibilities:
Maintain and control all incoming and outgoing project documents (drawings, correspondence, reports, RFIs, submittals, etc.)
Ensure proper filing (soft and hard copies) in accordance with company and project procedures
Log, track, and distribute documents to relevant stakeholders in a timely manner
Prepare letters, reports, memos, and other site correspondence
Coordinate with consultants, clients, and subcontractors regarding document submissions
Maintain site records, registers, and trackers
Provide general administrative and secretarial support to the Project Manager and site team
Handle telephone calls, emails, and basic office coordination at site level
Requirements:
Diploma or Bachelor's degree in Administration or a related field
Minimum
2-4 years of experience
as a Site Secretary or Document Controller (UAE experience preferred)
Good knowledge of document control procedures in construction projects
Proficient in MS Office (Word, Excel, Outlook)
Familiar with document management systems (Aconex, Procore, or similar is an advantage)
Good communication skills in English (Arabic is a plus)
Well-organized, detail-oriented, and able to work under pressure
