Assist
in preparing and issuing quotations, proposals, and tender documentation.
Process
purchase orders (POs) and PO changes, ensuring timely acknowledgment to customers
Generate
proforma invoices for clients with advance payment terms and ensure payments are received prior to shipment release.
Respond proactively
to client inquiries regarding order status, shipment updates, and billing or delivery discrepancies, recommending or initiating corrective actions as needed.
Maintain clear and professional communication with clients, providing regular updates on orders, lead times, product availability, and potential issues.
Monitor open orders and follow up to ensure on-time delivery or collection in accordance with client requirements.
Liaise closely with 3PL logistics providers, finance, and operations teams to ensure smooth and timely order fulfillment.
Create manual Commercial Invoices
and Packing Lists (CI/PL), along with other shipping documentation for direct shipments upon client request
Assist
in the reconciliation of customer Statements of Account (SOA) and payments, ensuring accounts receivable are collected on time and within credit limits
Coordinate with the DXB Supply Chain team to order equipment, parts, and consumables, and to improve lead times when necessary.
Communicate with the US Technical Team regarding obsolete or replacement parts and technical manuals.
Prepare sales reports for the client accounts managed by Customer Service
Assist in maintaining accurate customer system data and updating information as required.
Ensure high-quality and timely responses to customer inquiries, complaints, and service requests
Support the preparation of internal review reports and presentations.
Help maintain and update compliance with company policies, procedures, and service standards.
Contribute to the improvement of internal CS KPIs and customer KPI metrics
SKILLS
7 - 10 years of experience in customer service, sales coordination, or related roles.
Strong understanding of customer service principles and sales processes.
Excellent verbal and written communication skills.
Strong organizational, and interpersonal skill.
