As Shamal Holding continues to grow, we're in search of a Senior Lead - Community & Facilities Management. Shamal owns a large portfolio of real estate assets such as buildings, villa complexes, warehouses and business centers. In this role you will be the representative of Shamal, the Master Developer, at facility management matters related to its assets. Responsibilities:

  • Manage service level agreements with maintenance service providers including:
  • Supervision and site quality inspections.
  • Checking compliance with preventive maintenance schedules.
  • Checking compliance with Reactive Maintenance response and resolution SLA obligations.
  • Perform joint site visits and fill in monthly KPI/Score cards for each service provider.
  • Review service providers' CAFM systems/reports regularly.
  • Ensure all necessary processes are prepared, verified and implemented to maintain high level of customer satisfaction.
  • Prepare annual CAPEX and OPEX budgets and monthly forecasts.
  • Manage End-Of-Lease (EOL) inspections, quotations and execution of works ensuring minimal time for each stage to avoid loss of rent.
  • Project management for approved CAPEX expenses.
  • DLP Management.
  • Participate in tender processes including scope preparations, technical evaluation, value engineering and negotiations.
  • Ensure Health and Safety, Emergency and Fire Safety policies and processes are prepared and maintained.
  • Ensure all statutory compliances are met, including Real Estate Regulatory Agency (RERA), Dubai Land Department (DLD), DEWA, RTA, Dubai Municipality, DCD, SIRA and relevant local and federal laws.
  • Ensure all necessary measures are taken to always maintain real estate assets clean and well-presented.
  • Review utility bills on monthly basis and prepare and update tracking charts.
  • Report and escalate as appropriate any potential risks or HSE violations.
  • Establish and maintain constant communication and correspondence between all stakeholders including Shamal Development, Shamal Leasing, service providers and real estate management/leasing companies.
  • Hold regular meetings with service providers and follow up on actions.
  • Obtain updates on customer satisfaction surveys and prepare customer satisfaction action plans accordingly.
  • Review monthly reports of service providers and ensure compliance with audit requirements.
  • Ensure online records are maintained for SLA's, score cards, technical data and warranties.
  • Prepare presentations and conduct regular meetings with Shamal Leasing to stand on:
  • Pending reactive maintenance.
  • Progress of EOL inspections and repairs.
  • Pending appointments with tenants.
  • Pending quotation approvals.
  • Pending PO's.
  • Outstanding payments to service providers.
  • Tracking utility consumption.
  • Tracking of Budget vs. Actuals.
Qualifications:
  • Facilities management qualification or Engineering qualification or similar fields.
  • 5 years of experience in buildings and villas facility management operations.
