Responsibilities

Administrative Support

:

Manage and prioritize incoming communications (phone calls, emails, mail) and direct them to the appropriate individuals or departments. Prepare and edit documents, correspondence, reports, and presentations. Maintain and update office records, databases, and filing systems. Organize meetings, conferences, and travel arrangements for employees. Order and maintain office supplies and equipment.

Office Operations Management:



Oversee day-to-day office operations and ensure efficient workflow. Develop and implement office policies, procedures, and standards. Ensure compliance with relevant regulations and maintain a safe working environment. Manage vendor relationships and coordinate office maintenance and repairs. Identify opportunities for process improvement and implement streamlined procedures.

Team Coordination and Support:



Serve as a primary point of contact for internal staff and external stakeholders. Support the recruitment and onboarding process for new employees. Coordinate and assist with employee training and development initiatives. Foster a positive work environment and encourage effective communication among team members. Provide general administrative support to various departments as needed.

Financial and Budget Management:



Assist in budget development and monitoring of office expenses. Track and process invoices, expense reports, and purchase orders. Collaborate with finance department to ensure accurate financial records. Conduct periodic reviews of office costs and propose cost-saving measures.

Information Management and Technology:



Manage office systems, including phone, internet, and office equipment. Maintain confidentiality and security of sensitive information. Stay updated with technological advancements and recommend software or tools to enhance office productivity. Troubleshoot basic IT issues and liaise with IT support when necessary.

Human Resources Functions:

Manage end-to-end recruitment processes, including job postings, candidate sourcing, interviewing, and onboarding. Maintain employee records and ensure compliance with employment laws and regulations. Facilitate new hire orientation and ensure a smooth onboarding process. Serve as the point of contact for employee relations, addressing concerns, and providing guidance. Assist in the development and implementation of HR policies and procedures. Coordinate employee training and development initiatives. Support performance review processes and help manage employee benefits administration. Promote a positive office culture through engagement activities and open communication.

Qualifications and Skills:



Proven experience in administrative role. Excellent organizational and time management skills. Strong attention to detail and problem-solving abilities. Proficient in using office software (e.g., MS Office Suite and HRMS) Outstanding communication and interpersonal skills. Ability to prioritize tasks and work efficiently under pressure. Demonstrated ability to maintain confidentiality and exercise discretion. Knowledge of office management procedures and basic accounting principles. Knowledge of UAE Labour Laws and HR best practices Familiarity with payroll and benefits administration Bachelor's degree in business administration or a related field (preferred).

Pay: AED8,000.00 per month
