Would you enjoy assisting top level department managers helping to keep projects running on task? Parsons is now hiring a Senior Admin Officer for our rapidly expanding team.

Responsibilities:
  • May be the primary liaison between two or more groups, ensuring timely and accurate distribution of information and materials.
  • Relieves manager of administrative tasks. Understands priorities within the department and helps ensure that they are met.
  • Establishes department guidelines and procedures; anticipates where problem areas may arise; evaluates alternative methods of accomplishing tasks and meeting goals; and initiates suitable action.
  • Establishes and maintains document archiving and retrieval systems, prioritizing the flow of project reports/correspondence and ensuring timeliness in the handling, processing, and resolution of requests, requirements, problems.
  • Researches and compiles statistical information and related data, produces special or recurring reports, and completes special projects as assigned.
  • Monitors the department budget as directed.
  • Keeps informed concerning company, unit, and project policies and procedures.
  • Serves as focal point for gathering newly published policies and the dissemination of materials.
  • Establishes and maintains follow up files and confidential files for immediate supervisor.
  • May represent the office by attendance at meetings with vendors, internal clients or others.
  • Keeps manager informed of all pertinent action/pending action.
  • Has some latitude for speaking for the manager at such meetings.
  • May make informal presentations occasionally.
  • Initiates reports, as appropriate, for any or all functions.
  • Gathers, organizes, and analyzes materials; produces and distributes data in graphic, spreadsheet, or narrative format. May develop computerized logs.
  • Develops guidelines for standard reports from each function.
  • May administer the group's operating budget. Gives input for initial figures; investigates, resolves, and reports to the manager on all variances.
  • Serves as liaison between group to which assigned and others within the same division, as appropriate.
  • Ensures clear communication regarding all administrative issues.
  • Performs other responsibilities associated with this position as may be appropriate.
Qualifications:
  • Associate's or equivalent degree in Business (or equivalent)
  • Typically 3+ years of experience in an administrative/clerical capacity, preferably for a technical, engineering or construction firm
  • Background in clerical support, managing project documents, writing project correspondence and using office equipment, including ordering project or office supplies
  • Demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software is required
