The Secretary provides administrative and clerical support to ensure the smooth functioning of the office or department. This role involves managing schedules, handling correspondence, organizing meetings, and maintaining records with a high degree of professionalism and confidentiality.
Job Responsibilities:
* Answer and direct phone calls and emails promptly and professionally.
* Schedule and coordinate meetings, appointments, and events.
* Prepare and distribute minutes of meetings and correspondence.
* Maintain and organize office files, records, and databases.
* Draft, proofread, and edit documents, reports, and presentations.
* Manage calendars and set reminders for deadlines and important tasks.
* Handle incoming and outgoing mail and deliveries.
* Order and maintain office supplies and inventory.
* Act as a liaison between departments or external contacts.
* Ensure confidentiality of sensitive information and data.
Required Skills and Qualifications:
* High school diploma or equivalent (BacheloraEUR(TM)s degree is a plus).
* Proven experience as a secretary or administrative assistant.
* Excellent written and verbal communication skills.
* Strong organizational and time-management abilities.
* Attention to detail and problem-solving skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to handle confidential information with integrity.
* Professional appearance and demeanor.
