Duties and Responsibilities of Secretary to Department Manager
Administrative Support
Provide comprehensive secretarial and administrative assistance to the Department Manager.
Manage and organize daily schedules, meetings, and appointments.
Prepare, draft, and format correspondence, reports, presentations, and other documents.
Communication & Coordination
Handle incoming calls, emails, and correspondence on behalf of the manager.
Coordinate between the department and other internal teams or external parties.
Relay accurate and timely information to stakeholders.
Meeting & Event Management
Schedule, coordinate, and prepare agendas for meetings.
Record, transcribe, and distribute meeting minutes.
Arrange logistics for departmental events, workshops, and conferences.
Document & Records Management
Maintain accurate filing systems (electronic and physical) for confidential and sensitive information.
Track and monitor departmental reports, deadlines, and follow-ups.
Ensure proper documentation control and retrieval.
Travel & Logistics
Arrange travel itineraries, accommodations, and transportation for the manager.
Prepare expense claims, reimbursements, and travel reports.
Operational Support
Quotation Preparation
Assist in preparing departmental budgets, reports, and presentations.
Support in following up on projects, tasks, and key deliverables assigned by the manager.
Confidentiality & Professionalism
Handle sensitive and confidential information with discretion.
Represent the manager professionally in all interactions.
