Job Description

Pipeco Group is seeking a highly organized and detail-oriented Secretary & Sales Coordinator to join our team in Dubai. This individual will play a pivotal role in managing and ensuring the smooth flow of project-related documentation, compliance statements, submittals, warranty certificates, and job completion records. In addition to administrative duties, this role will involve sales coordination, client follow-ups, and marketing support to ensure optimal business operations and project execution.

Key Responsibilities:



Documentation & Project Management Support:

Assist in the preparation, review, and management of project documentation, including compliance statements, submittals, and job completion reports. Maintain an organized filing system for all project-related documents (both physical and digital). Ensure that warranty certificates and other necessary project documentation are compiled and submitted in a timely manner.

Sales Coordination:

Act as the primary point of contact for the sales team, facilitating communication with clients, suppliers, and contractors. Coordinate the timely delivery and submission of project proposals and quotes. Track and manage sales orders, ensuring that customer requirements and deadlines are met.

Follow-ups:

Regularly follow up with clients, vendors, and internal teams to ensure deadlines are met and projects remain on schedule. Maintain a follow-up system to track the status of ongoing sales, project approvals, and other pending matters.

Marketing Support:

Assist in the preparation and execution of marketing materials and presentations. Support marketing campaigns and client communications. Help manage social media channels and promote company activities.

General Administrative Support:

Perform general office administrative duties such as answering calls, scheduling meetings, and managing emails. Ensure smooth communication between all departments and provide necessary support to various teams.

Key Requirements:



Proven experience as a Secretary, Administrative Assistant, or similar role, preferably in a project-based environment. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written, in English. Arabic is a plus. Familiarity with project management tools and Microsoft Office Suite (Excel, Word, PowerPoint). Experience in sales coordination, marketing support, or related roles. Detail-oriented with a proactive and positive attitude. Ability to work independently and collaboratively within a team. Strong time management skills and the ability to prioritize tasks effectively.

Education & Qualifications:



Bachelor's degree or equivalent. Experience in a similar role, particularly within construction, engineering, or project management sectors, is an advantage.
