We are looking for a highly organized and professional

Architect Secretary

to join our team in Dubai. In this role, you will be responsible for managing communication, coordinating office activities, and providing administrative support to ensure the smooth operation of our architectural firm. Your role will be crucial in maintaining effective communication between clients, architects, and other stakeholders.

Key Responsibilities:



Manage office activities, including answering phone calls, greeting visitors, and handling correspondence in a professional and courteous manner. Coordinate and schedule meetings, appointments, and conferences, ensuring timely communication and follow-ups. Assist in preparing and formatting documents, presentations, and reports related to architectural projects. Maintain organized records and files, ensuring easy access to project documents, client information, and other important materials. Handle incoming and outgoing mail, including sorting, distributing, and responding to correspondence as needed. Support architects and project managers with administrative tasks, including data entry, document control, and office supplies management. Ensure the office is well-maintained and presentable, reflecting the professional image of our firm.

Qualifications:



A minimum of

3 years of experience

in a secretarial or administrative role, preferably within an architectural, engineering, or construction firm. Strong communication skills, both written and verbal, with the ability to interact professionally with clients and team members. Proficiency in office software, including

Microsoft Office Suite (Word, Excel, PowerPoint)

and familiarity with architectural software is a plus. Excellent organizational skills, with the ability to manage multiple tasks and prioritize effectively. A high level of attention to detail and accuracy in handling documents and communication. A proactive and positive attitude, with the ability to work independently and as part of a team. Fluency in English is required; additional languages, especially Arabic, are an advantage.
