Job Description

1. Greeting and Welcoming: \xc2\xb7 Welcome and greet visitors, clients, and customers in a friendly and professional manner. \xc2\xb7 Direct them to the appropriate person or department and provide information or assistance as needed. 2. Answering Phone Calls: \xc2\xb7 Handle incoming phone calls, take messages, and transfer calls to the relevant individuals or departments. \xc2\xb7 Provide information, answer inquiries, and assist callers with their requests. 3. Customer Service: \xc2\xb7 Provide exceptional customer service by addressing inquiries, resolving issues, and ensuring customer satisfaction. \xc2\xb7 Handle complaints or concerns with professionalism and empathy. 4. Appointment Scheduling: \xc2\xb7 Schedule appointments, meetings, and reservations for clients or staff. \xc2\xb7 Maintain and update appointment calendars. 5. Administrative Support: \xc2\xb7 Perform general administrative tasks, including photocopying, filing, and data entry. \xc2\xb7 Prepare and distribute documents, reports, and correspondence. 6. Handling Mail and Deliveries: \xc2\xb7 Receive, sort, and distribute incoming mail and packages. \xc2\xb7 Prepare outgoing mail and packages for delivery or courier pickup. 7. Maintaining Records: \xc2\xb7 Maintain and update visitor logs, contact databases, and other records. \xc2\xb7 Ensure confidentiality and security of sensitive information. 8. Office Supplies Management: \xc2\xb7 Monitor and reorder office supplies to ensure availability. \xc2\xb7 Keep the front office area organized and tidy. 9. Payment Handling: \xc2\xb7 Collect payments from clients or customers, issue receipts, and maintain accurate records of transactions. \xc2\xb7 Follow established cash-handling procedures. 10. Security Procedures: - Enforce security protocols, such as visitor badges and sign-in/sign-out procedures. - Be vigilant in identifying and reporting any security concerns or suspicious activity. 11. Multitasking: - Handle multiple tasks simultaneously, such as phone calls, walk-in visitors, and administrative duties. - Prioritize tasks efficiently to maintain a smooth front office operation. 12. Information Dissemination: - Disseminate important information, announcements, or notices to staff and visitors as needed. 13. Problem Solving: - Address and resolve issues or challenges that may arise in the front office, such as scheduling conflicts or unexpected visitor arrivals. 14. Technology Proficiency: - Utilize office software, email systems, and other tools effectively to perform tasks and communicate with team members. 15. Team Collaboration: - Collaborate with other staff members, including colleagues in other departments, to ensure seamless operations and communication within the organization. 16. Health and Safety Compliance: - Ensure compliance with health and safety regulations in the front office area, including emergency procedures and evacuation plans. Job Type: Full-time Experience:
