The Secretary Accountant plays a crucial role in managing administrative and financial tasks to ensure the smooth operation of the gallery. This position requires a combination of organizational skills, financial acumen, and a keen interest in the arts.
Responsibilities: * Financial Management:
Maintain and update financial records, including accounts payable and receivable.
Prepare and process invoices, receipts, and payments.
Reconcile bank statements and monitor cash flow.
Assist in budget preparation and financial forecasting.
Bookkeeping:
Record and classify financial transactions in accounting software.
Manage petty cash and reconcile on a regular basis.
Ensure accurate coding and categorization of expenses.
Administrative Support:
Provide administrative support to the gallery director and other staff members.
Manage appointments, schedule meetings, and coordinate events.
Handle phone calls, emails, and inquiries related to financial matters.
Art Inventory:
Assist in maintaining an updated inventory of artworks.
Work closely with curators and artists to document acquisitions, loans, and sales.
Communication:
Communicate effectively with artists, clients, and vendors regarding financial transactions.
Collaborate with internal teams to ensure a cohesive workflow.
Compliance:
Stay informed about relevant financial regulations and ensure compliance.
Prepare and submit financial reports for regulatory purposes.
Documentation and Filing:
Maintain organized and accurate financial and administrative records.
Ensure proper documentation of transactions, contracts, and agreements.
Software Proficiency:
Utilize accounting software and other relevant tools proficiently.
Stay updated on software upgrades and industry best practices.
Problem Resolution:
Address and resolve financial discrepancies or issues promptly.
Collaborate with relevant parties to find solutions to any challenges.
Qualifications:
Must be based in the UAE
Bachelor\'s degree in Accounting, Finance, Business Administration, or a related field.
Proven experience in accounting and administrative roles, preferably in an art or cultural institution.
Strong understanding of financial principles and practices.
Proficiency in accounting software (e.g., QuickBooks, Xero).
Excellent organizational and multitasking abilities.
Effective communication skills and attention to detail.
