Dubai, UAE SALARY: 120,000 AED - 120,000 AED PER: Annum TERM: Permanent

The Secretary Accountant plays a crucial role in managing administrative and financial tasks to ensure the smooth operation of the gallery. This position requires a combination of organizational skills, financial acumen, and a keen interest in the arts.

Responsibilities: * Financial Management:
  • Maintain and update financial records, including accounts payable and receivable.
  • Prepare and process invoices, receipts, and payments.
  • Reconcile bank statements and monitor cash flow.
  • Assist in budget preparation and financial forecasting.
  • Bookkeeping:
  • Record and classify financial transactions in accounting software.
  • Manage petty cash and reconcile on a regular basis.
  • Ensure accurate coding and categorization of expenses.
  • Administrative Support:
  • Provide administrative support to the gallery director and other staff members.
  • Manage appointments, schedule meetings, and coordinate events.
  • Handle phone calls, emails, and inquiries related to financial matters.
  • Art Inventory:
  • Assist in maintaining an updated inventory of artworks.
  • Work closely with curators and artists to document acquisitions, loans, and sales.
  • Communication:
  • Communicate effectively with artists, clients, and vendors regarding financial transactions.
  • Collaborate with internal teams to ensure a cohesive workflow.
  • Compliance:
  • Stay informed about relevant financial regulations and ensure compliance.
  • Prepare and submit financial reports for regulatory purposes.
  • Documentation and Filing:
  • Maintain organized and accurate financial and administrative records.
  • Ensure proper documentation of transactions, contracts, and agreements.
  • Software Proficiency:
  • Utilize accounting software and other relevant tools proficiently.
  • Stay updated on software upgrades and industry best practices.
  • Problem Resolution:
  • Address and resolve financial discrepancies or issues promptly.
  • Collaborate with relevant parties to find solutions to any challenges.
Qualifications:
  • Must be based in the UAE
  • Bachelor\'s degree in Accounting, Finance, Business Administration, or a related field.
  • Proven experience in accounting and administrative roles, preferably in an art or cultural institution.
  • Strong understanding of financial principles and practices.
  • Proficiency in accounting software (e.g., QuickBooks, Xero).
  • Excellent organizational and multitasking abilities.
  • Effective communication skills and attention to detail.
