We are looking for a highly organized, detail-oriented, and professional
Secretary
to join our maintenance company. The ideal candidate will support daily administrative operations, ensure smooth communication, and maintain efficient office workflows.
Key Responsibilities:
Coordinate schedules, appointments, and meetings, ensuring timely follow-ups and reminders.
Manage incoming and outgoing correspondence, including emails, phone calls, and official documents.
Draft, edit, and proofread letters, reports, memos, and other business documents.
Organize, maintain, and update physical and digital filing systems, records, and databases.
Ensure accurate document filing and quick retrieval when required.
Liaise with vendors, suppliers, and service providers as necessary.
Handle client inquiries, requests, and concerns in a professional and courteous manner.
Maintain a positive, helpful, and professional office environment.
Keep accurate financial records, including invoices, petty cash, and expense reports.
Handle sensitive information with a high level of discretion and confidentiality.
Required Skills and Qualifications:
Excellent written and verbal communication skills in English .
Strong attention to detail and accuracy in documentation and correspondence.
Proficiency in MS Office (Word, Excel, Outlook) and general office equipment.
Strong time management skills with the ability to meet deadlines.
Ability to multitask and manage multiple priorities efficiently.
Problem-solving skills with the ability to address issues promptly and professionally.
