SECONDARY CURRICULUM DATA SUPPORT AND EXAMS OFFICER

Job Scope
The Secondary Curriculum Data Support and Exams Officer is responsible for
undertaking the organisation and administration of al IB MYP e-Assessment, IB DP
and other pathway examinations in line with SISD policies, procedures and formal
external examinations regulations. The Secondary Curriculum Data Support and
Exams Officer plays a vital role throughout the academic year, particularly during
exam seasons where the post holder is required to develop a multitude of
relationships with internal and external stakeholders.

Exams and Data Support:

  • To take responsibility for the day-to-day management of al school
examination procedures.
  • To provide administrative support regarding al assessments and
examinations and ownership of specific exam database.
  • To support SLT to ensure appropriate timetabling and invigilation
arrangements are in place for all school examinations.

  • To support the curriculum coordinators to ensure al student exam data is
correct and meets examination board requirements and assist with
preparations for special access arrangements.
  • To manage all examination windows ensuring all staff are aware of the
process and that al examinations are conducted in accordance with external
guidance.
  • To liaise with the Facilities Team to ensure exam venue is set up correctly
with sufficient seating and clocks and ensure Invigilators have necessary
equipment.
  • To support the Exam Invigilators to ensure al examinations start and finish
appropriately in line with Examination Board regulations.
  • To support with the al ocated seating plans.
  • To ensure the number of invigilators conform with statutory guidelines.
  • To support with recruitment of exam invigilators in a timely manner and
provide training where required.
  • To check all exam scripts as they arrive to ensure they are correct and
cascade the information to the relevant persons.
  • To ensure safe storage and confidentiality of examination materials.
  • To ensure safe and secure distribution of examination scripts and coursework
to relevant bodies
  • To assist with the publication of individual student exam timetables and
ensure the students are given the relevant information about exams entries,
dates and time of examinations in good time.
  • To order all the necessary resources required for all the examinations.
  • Examination results - including providing information for students, staff,
parents and other appropriate bodies.
  • To provide data and analysis to the SLT, Teachers to ensure that examination
results are accurately reported, and so informed decisions can be made.
  • To ensure that all examination appeals are effectively processed with all
responsible parties as per examinations appeal policy
  • To provide associated administration to support the examination process
  • To assist with the Input school examination results into the appropriate
school data packages.
  • To liaise with the Marketing to ensure the website is up to date with
examination information.
  • To effectively liaise with a wide range of staff, exam boards and students to
ensure al examination data, coursework and other information is accurately
entered and processed to the deadlines set.
  • To manage the certification process for students and respond to queries from
past students
  • To take responsibility for keeping up to date with exam procedures and
identifying any training requirements
  • To undertake general admin duties as requested
Assessment and Reporting:
  • To co-ordinate with SLT and agree Assessment and Reporting calendar with
SLT.
  • To provide communications to teaching staff, Grade Coordinators, Subject
Coordinators, as needed, to ensure they are aware of deadlines and they
comply with them
  • To provide any reports to teaching staff as required to facilitate Assessment
and Reporting process for deadlines

  • To do data checks during process to check data quality and completeness
before final review by SLT members
Other responsibilities:
  • 2 hours every morning will be in Secondary Reception to assist in
morning registration procedures, late notes and assisting students
arriving to school.
  • To track student attendance and punctuality/late arrivals
  • Liaise with Admissions and ensure new student assessments are returned by
the academic team to Admissions within the timeframe so an offer can be
made to the student
  • Ensure displayed exam information and university destinations is kept up to
date annual y

Position Requirements
Education
Subject Degree or Educational Degree related to Data or IT
Experience
Minimum of 2 years of Data/Exams Officer experience in a secondary school
setting

  • Proficiency in other languages such as French, German or Arabic is desirable
