Salon Receptionist

Job Description

We are seeking a friendly, organized, and customer-oriented Salon Receptionist to join our team. As the first point of contact for our clients, the receptionist plays a crucial role in ensuring a welcoming atmosphere, managing appointments, and handling various administrative tasks. The ideal candidate will have excellent communication skills, a professional demeanor, and a passion for customer service.

Key Responsibilities:



Customer Service:

Greet clients warmly upon arrival and ensure they feel welcome. Answer phone calls, emails, and messages, providing information about services, prices, and availability. Schedule, confirm, and manage appointments using salon management software. Handle customer inquiries and complaints in a professional manner, directing them to appropriate staff when necessary. Assist clients with check-in/check-out procedures and ensure a smooth experience.

Administrative Support:

Maintain accurate records of client appointments, payments, and services provided. Process payments, including cash, credit, and gift card transactions. Keep the reception area clean, organized, and well-stocked with necessary supplies. Assist in inventory management by tracking and reordering retail products as needed. Handle client forms, waivers, and other necessary documentation.

Communication and Coordination:

Communicate with salon staff to ensure they are informed of client arrivals, cancellations, or schedule changes. Coordinate with stylists, technicians, and other staff members to manage appointment flow and meet client needs. Provide clients with updates on any changes to their scheduled services or available appointments.

Promotions and Marketing:

Inform clients about salon promotions, upcoming events, or new services. Encourage clients to book future appointments and maintain regular visits.

Other Duties:

Assist with general office duties as needed (e.g., filing, data entry, and email management). Ensure the salon's policies and procedures are followed, including those related to health and safety standards. Support the salon team with administrative tasks as necessary.

Qualifications:



High school diploma or equivalent; additional education in business administration or a related field is a plus. Proven experience as a receptionist or in a customer service role (preferably in a salon or beauty industry). Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Proficiency in using salon management software, scheduling systems, and basic office tools (e.g., Microsoft Office, point-of-sale systems). Ability to work in a fast-paced environment while maintaining professionalism and attention to detail. Knowledge of salon services and products is an advantage.
