Responsibilities and Obligations:
  • Participates to the team spirit at all times in a positive way.
  • Commits to personal and team deadlines, and ensures priorities are managed accordingly.
  • Represents the image of the department over the phone and therefore must ensure that telephone calls are answered in all times within the sales department, and are answered with warmth and professionalism.
  • Ensures that incoming calls are directed to the relevant persons of the department or to inform the person when full knowledge about the subject is acquired.
  • Handles some telemarketing activities with customers
  • Handles some market surveys
  • Coordinates guest inquiries (phone, email, fax, Internet) of all types in the absence of DOSM, ADOS, Sales Manager and Sales Executives.
  • Ensures that the 24 hours policy to answer guest inquiries is respected by all sales members when in charge by implementing a trace system.
  • Follows up with companies on offers forwarded in order to secure confirmation.
  • Ensures that all requests given by members of the Sales departments are handled within the deadline and in a professional way.
  • Traces ADOS and Sales Managers on the deadlines given to them by DOSM.
  • Co-ordinates the agenda of the DOSM
  • Attends briefings when required to.
  • Handles the typing activities necessary for the performance of the Sales department (minutes, contracts, procedures, letters \xe2\x80\xa6) while ensuring that they correspond to ACCOR Standards.
  • Handles reports and surveys as per Department needs.
  • In charge of the daily maintenance and back up of the database for the whole sales team, and therefore in charge of tracing the relevant sales members when needed.
  • In charge of the office supply inventory for the sales department in co-ordination with the Purchasing department.
  • In charge of the collaterals and give-away inventory in the Sales office, in co-ordination with the Marketing department.
  • In charge of the preparation of the sales materials for the sales persons (brochures kits, gifts \xe2\x80\xa6) and ensures the availability of these by all time.
  • Ensures that the filing system of the Sales Department is in order and respected by all the members of the Sales Team.
  • Participates to the tidiness and friendly atmosphere of the Sales Department.
  • Handles all the other administrative tasks related to the Sales and Marketing department, linked to Human Resources Management, Human Resources Administration, Finance, Purchasing, Travel issues.
Qualifications
  • Previous Sales experience preferred
  • Strong communication, problem solving and presentational skills
  • Two years experience in 5 Star Hotels.
  • Good knowledge in Microsoft Excel, Word, Outlook, Opera.
