To provide complete administrative support in the day-to-day operations as well as managing the back-office administration.
Sales Administration:
Verifies all documentation related to sales is complete and in compliance with company's policies and processes
Verifies data entries made in system.
Handles Bulk and VIP deals.
Handles requests pertaining to agreement issuance for transactions (Agents & customer).
Acts as an authorized sale approver, after verification of all required documents.
Prints Sales and Purchase / car park agreements etc. as one of the authorized staff for printing Agreements from system.
Updates milestones which track the status of the contract.
Ensures compliance with sales policies at all times.
Completes assigned tasks within given deadlines.
Responsible for the agency registration.
Launch / Events assistance:
Pre-prints and keeps ready all sales related documentation i.e. CIS, Booking forms, checklists, floor plans etc.
Assists Sales Executives in making sure all documentations are complete for each sale transactions.
Office Administration
Ensures stocks for all promotional materials like floor plans, brochures, specifications and terms and conditions
Ensures cost is kept minimum while ordering SPA paper.
Files all sales documents.
Assists with Daily Sales reports.
Prepares sales reports after a launch or even.t
Prepares report on colour finishes for applicable projects
Liaises with Finance departments to get a confirmation on payments prior to sales approval as well as refunding security deposits.
Liaise with Customer to get the documentation signed.
Raise purchase requisition for departmental requirements.
Maintain stocks for all office supplies.
Ensure all pantry items are replenished.
Reports:
Compile daily/ weekly/ monthly reports as requested by Management. Coordination:
Ensures all administrative activities of the sales team are handled, calls screened and re-directed where necessary in an effective and efficient manner to help maximize sales team productivity (e.g. correspondence, communications, appointments, weekly schedules, itineraries.
Performs all other tasks as assigned by management
Minimum qualifications & experience
Bachelor's degree,
2 - 5 years' experience in Office Administration in real estate company
Strong command of the English language (Arabic knowledge is a plus).
Proven ability to manage multiple tasks efficiently and handle a high-volume work environment.
Excellent verbal and written communication skills.
