The Role





As Savills continues to grow its residential teams across the UAE, we are looking for a highly organized and proactive Administrator to join our dynamic real estate team in Abu Dhabi. In this key support role, you will be responsible for a range of administrative tasks that ensure the smooth functioning of daily operations. Working closely with both team members and senior management, you will help maintain high standards of client service and regulatory compliance.

Key Responsibilities



Client Interaction



Serve as a key point of contact for clients, addressing inquiries professionally and ensuring exceptional customer service. Foster positive and ongoing relationships with clients to enhance their experience and maintain long-term engagement. Support senior team members with appointment scheduling, client follow-ups, and diary management.

Administrative & Technical Support



Assist in preparing, verifying, and processing property listings for Abu Dhabi portals, ensuring accuracy and compliance with local requirements. Monitor credit usage on property portals and maintain related reports. Manage documentation including contracts, listing forms, and tenancy agreements. Ensure compliance with Abu Dhabi Municipality, DARI, and other regulatory bodies for listing and transaction approvals. Provide support in organizing internal files and records related to listings, sales, and leasing activity.

Database & Lead Management



Maintain a well-organized and regularly updated client and property database. Ensure strong follow-up procedures for leads, assisting in the coordination of agent pipelines. Track and consolidate agent feedback to optimize lead conversion efforts. Generate and distribute weekly and monthly listing and performance reports.

Communication, Coordination & Organization



Act as a liaison between clients, real estate agents, and internal departments to ensure smooth communication and operational flow. Provide calendar management, travel planning, and meeting coordination support to senior members executives as part of PA duties. Manage incoming calls and emails, addressing inquiries or redirecting them as appropriate. Maintain confidential files and ensure discretion in handling sensitive or personal matters. Ensure all transaction documentation is collected, filed, and accessible to the relevant teams.

Regulatory Compliance



Ensure adherence to Abu Dhabi real estate regulations and internal company policies. Stay informed on updates from local authorities such as the Department of Municipalities and Transport (DMT), and DARI portal guidelines.

Skills, Knowledge and Experience





Strong administrative and organizational skills, with the ability to multitask and prioritize effectively Excellent communication and interpersonal abilities Technically proficient, with hands-on experience using CRM systems, property portals, and the Microsoft Office Suite -- advanced Excel skills are essential High level of discretion and professionalism in handling confidential information * Proactive and adaptable mindset, with a willingness to support both operational and executive-level tasks
