Job Description

Reservations Department
This department is dedicated to managing all incoming bookings for the hotel. They are often a guest's first point of contact, even before arrival.
Key Positions: Reservations Manager, Reservations Agent.
Overall Department Goal: To maximize room revenue and occupancy by efficiently processing all reservation requests and providing accurate information to potential guests.
Detailed Responsibilities:

  • Booking Management: Handle reservation inquiries and bookings received via phone, email, and the hotel's website.
  • System Management: Input and update all reservations in the Property Management System (PMS) or Central Reservations System (CRS) with accurate details (dates, room type, rate, special requests).
  • Rate & Inventory Control: Manage room availability and apply correct rates for different segments (corporate, group, leisure).
  • Distribution Channel Management: Update and maintain accuracy across all online travel agencies (OTAs like
, Expedia) and the Global Distribution System (GDS) used by travel agents. * Pre-Arrival Coordination: Process pre-payments, send confirmation emails, and identify special requests (e.g., honeymoon, anniversary) to coordinate with the Front Office and Housekeeping.
  • Group Bookings: Assist in blocking rooms and managing details for group reservations.
  • Upselling: Suggest and book higher-category rooms or packages to enhance the guest experience and increase revenue.
