Reception and Admin Assistant Position Overview:
We are seeking a reliable and proactive Reception to manage the front desk, provide administrative support, and help maintain a smooth and efficient office environment. The ideal candidate will be organized, have excellent communication skills, and enjoy interacting with clients and staff.
Key Responsibilities:
Reception Duties:
Greet and welcome visitors, clients, and employees.
Answer, screen, and forward incoming phone calls.
Maintain a professional and positive front desk atmosphere.
Respond to inquiries and provide general information about the organization.
Schedule appointments and manage meeting room bookings.
Administrative Support:
Handle general office duties including filing, faxing, scanning, and photocopying.
Assist with scheduling meetings, managing calendars, and organizing events.
Draft, proofread, and send correspondence as directed.
Maintain office supplies and inventory.
Assist with the preparation of reports, presentations, and documents.
Data Entry & Filing:
Ensure accurate and timely data entry into the company's systems.
Organize and maintain filing systems (both electronic and physical).
Team Collaboration:
Support the HR and Operations team with various tasks as needed.
Collaborate with team members to ensure smooth daily office operations.
Required Skills & Qualifications:
Previous experience in a receptionist or administrative role preferred.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to handle confidential information with discretion.
Basic knowledge of office equipment (e.g., printers, copiers, phones).
Positive, professional, and approachable demeanor.
