Receptionist/administrative Assistant

Job Description

Key Responsibilities:



Handle day-to-day administrative tasks, including managing official correspondence, responding to emails, and addressing online inquiries. Coordinate with suppliers and clients to support smooth supply chain operations. Prepare and issue quotations, process purchase orders (POs) upon receiving client LPOs, and ensure timely preparation of delivery notes. Oversee daily office operations, monitor deliveries, and ensure timely execution of services. Maintain calendars for contract renewals and service agreements, ensuring timely follow-ups and reminders. Keep accurate service records and prepare detailed service reports. Manage petty cash, record expenses, and submit regular reconciliations. Coordinate import shipments, including preparing eDAS attestations. Manage and update online portals such as MOFA and other related platforms. Maintain organized hard and soft copies of purchase records, including tracking serial numbers for warranty documentation. Provide HR support by organizing employee records, maintaining personal folders (physical and digital), and managing leave applications. Ensure adequate stock of office supplies and replenish as required. Create and maintain a structured filing system to facilitate smooth documentation flow and easy retrieval.
