Job Purpose
To manage front desk operations while supporting HR functions, with a key focus on maintaining accurate timekeeping records and handling HR documentation efficiently.
Key Responsibilities
Reception & Front Desk Duties
Greet and assist visitors, clients, and staff with professionalism and warmth
Answer and direct phone calls and emails promptly
Maintain a clean, organized, and welcoming reception area
Schedule appointments and manage meeting room bookings
Handle incoming and outgoing correspondence and deliveries
Timekeeping & Attendance Management
Monitor daily employee attendance and punctuality
Maintain and update biometric or manual timekeeping systems
Prepare and submit attendance reports for payroll processing
Track overtime, leave balances, and absenteeism
Coordinate with department heads to verify shift schedules and attendance discrepancies
HR Documentation & Administrative Support
Maintain and organize employee records and HR files
Assist in preparing contracts, offer letters, and HR memos
Support onboarding and offboarding documentation
Ensure compliance with Qatar labor laws and company policies
Assist in internal audits and documentation reviews
General Office Administration
Manage office supplies and inventory
Liaise with vendors and service providers
Prepare reports, presentations, and meeting minutes
Support HR initiatives such as training sessions and employee engagement activities
Qualifications & Requirements
Minimum 3 years of experience in a receptionist or HR admin role in Qatar
Proficiency in MS Office (Excel, Word, Outlook) and timekeeping software
Fluent in English; Arabic is a plus
Strong attention to detail and confidentiality
Presentable, approachable, and professional appearance
Preferred Attributes
Experience with biometric attendance systems or ERP platforms
Familiarity with Qatar labor law and visa procedures
Certification in HR, office administration, or document control is an advantage
