Answering and Managing Phone Calls:
Handling incoming calls, transferring them to the appropriate individuals or departments, and taking accurate messages. This also includes managing the switchboard or phone system.
Managing the Reception Area:
Maintaining a clean, organized, and presentable reception area. This might include arranging reading materials, ensuring furniture is tidy, and managing any displays.
Handling Incoming and Outgoing Mail/Packages:
Sorting and distributing incoming mail and packages. Preparing and sending outgoing mail and packages, often including courier arrangements.
Scheduling Appointments and Meetings:
Coordinating and scheduling appointments, meetings, and conference room bookings, often using scheduling software.
Maintaining Visitor Logs:
Keeping accurate records of visitors, including their names, purpose of visit, and time of arrival and departure.
Administrative Duties:
Providing General Administrative Support:
Assisting with various administrative tasks such as typing, filing, data entry, photocopying, scanning, and faxing.
Managing Office Supplies:
Monitoring inventory levels of office supplies and placing orders as needed. This may include managing relationships with vendors.
Preparing and Processing Documents:
Creating, editing, and formatting various documents, such as letters, memos, reports, and presentations.
Managing Records and Files:
Maintaining organized and up-to-date physical and electronic filing systems.
Assisting with Travel Arrangements:
Booking flights, accommodations, and transportation for employees.
Supporting Other Departments:
Providing administrative support to other departments as needed, such as HR, marketing, or finance.
Handling Petty Cash:
Managing petty cash and maintaining accurate records of expenditures. (Sometimes applicable)
