Receptionist / Administrative Assistant
Department: Operations
Locations: JVC, Business Bay, Dubai Marina
Reports to: Office Manager / Branch Manager
About the Role:
You are the first point of contact and the operational heartbeat of our brokerage. This critical role ensures our office runs seamlessly, supports our sales agents, and delivers an exceptional experience to every client who walks through our door or calls on the phone.
Key Responsibilities:

  • Front Desk Management: Professionally greet all visitors, answer and direct incoming calls, and manage general email inquiries.
  • Appointment & Facility Coordination: Schedule client viewings and meetings for consultants. Manage branch calendars and meeting room bookings.
  • Sales Support: Assist the sales team with preparing marketing materials, property brochures, MOUs, and other client documentation. Manage physical and digital filing systems (including RERA/DLD documents).
  • Office Administration: Maintain office supplies, handle couriers, and coordinate with building management and service vendors.
  • CRM & Data Entry: Support with accurate data entry into the company CRM system and ensure client information is up-to-date.
  • Compliance Assistance: Help agents ensure client documents are collected and filed in accordance with company and RERA policies.
Qualifications & Skills:
  • Minimum of 1-2 years of experience in a receptionist or administrative role. Experience in real estate, hospitality, or a corporate environment is highly preferred.
  • Impeccable professional presentation and telephone etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Outstanding organizational skills and the ability to multitask in a fast-paced environment.
  • Strong verbal and written communication skills in English is essential. Fluency in Arabic is a significant advantage.
  • Discreet, trustworthy, and a proactive problem-solver.
