Our client is one of the leading International Freight Forwarders providing Air Freight, Ocean Freight, Customs Brokerage & Surface Logistics, and Distribution services. We are looking for a Temporary Receptionist cum Admin Assistant, to perform a variety of administrative and clerical tasks. Duties include providing support to our managers and employees, assisting in daily office needs and managing our company\'s general administrative activities. Duration: 3 Months. Start Date: March 6 to June 30 This is a Temporary opportunity. Only candidates under family sponsored visa and immediately available will be considered.
Responsibilities: Admin Tasks Receptionist duties such as Answers phone calls, Direct calls to appropriate persons or take detailed messages. Assisting Guest & Clients, receiving deliveries, couriers, and arranging distribution to recipient. Visitors gate pass, staff access card new and renewals Attendance Monitoring Meeting room booking Managing office supplies stock and place orders & Arranging office maintenance i.e IT Assisting with setting up workstations, IT setups for new hires. General Inquiries and requesting quotation from each supplier if needed Coordinating & arranging office maintenance, IT. Etc Assist and advise PRO on all Lease contract renewals and Vu Assist in DACC Performance & wastage monthly reports Assisting employees request Application in company vehicle renewals and any other service related to company vehicles Managing company portal accounts ( DWC & JAFZA) Request for top-ups, etc HR Tasks Issuance of Letters & Certificates Coordinating Interviews Drafting Offer Letters & Employment Contracts Invoicing Tasks Scanning & Checking all documents required for invoice dispatching . Sending invoice and supporting document through mail to each client sending original invoice along with the supporting & scan copy to client (depends on client request) (sending it through a courier or messenger). Arranging of all invoices / docket & filing (Court Logs) Qualifications: Proven experience in a similar role Previous experience as HR procedures is required Excellent time management skills and the ability to prioritize work Strong organizational skills with the ability to multi-task High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Location: Dubai South Business Park Timings: Monday to Friday | 08.30am to 05.30pm
