TP-LINK MEA FZE is seeking a professional and organized
Reception cum Administrator
to manage front-desk operations and provide comprehensive administrative support. This role is critical to ensuring smooth office operations while maintaining compliance with UAE regulations, internal controls, and company policies.
Key Responsibilities
Reception & Front Desk
Act as the first point of contact for visitors, clients, vendors, and business partners
Handle incoming calls, emails, couriers, and visitor registrations
Manage meeting room bookings and support official meetings
Travel, Training & Meeting Coordination
Arrange business travel including flight bookings, hotel reservations, and visa processing
Coordinate business trainings and meetings, including room bookings and logistics
Maintain accurate records for audit and reporting purposes
Office, Facilities & Fleet Administration
Coordinate office facilities, maintenance, cleaning, and IT support vendors
Manage company fleet records including vehicle usage, insurance, and maintenance tracking
Ensure office premises meet corporate, health, and safety standards
Utilities, Procurement & Inventory
Coordinate monthly utility and service bill payments with proper documentation
Manage stationery, pantry supplies, and office purchases in line with approved budgets
Maintain inventory and vendor records as per internal controls
Petty Cash & Expense Support
Manage petty cash disbursement, reconciliation, and reporting in line with finance policies
Support finance with expense documentation and reimbursements
Compliance & Confidentiality
Ensure adherence to UAE labor laws, company policies, and audit requirements
Maintain strict confidentiality of company and employee information
Qualifications & Experience
Diploma or Bachelor's degree in Business Administration or related field
2-4 years of experience in a receptionist or administrative role in the UAE
Skills & Competencies
Strong verbal and written communication skills in English
Proficient in MS Office (Word, Excel, Outlook)
Excellent organizational and multitasking abilities
Experience in travel coordination, vendor management, petty cash handling, and facilities administration
Professional appearance and customer-focused attitude
Job Type: Full-time
Pay: AED3,000.00 - AED5,000.00 per month
