to provide administrative, coordination, and logistical support throughout all phases of real estate development projects. The role ensures smooth communication between internal teams, consultants, contractors, authorities, and other stakeholders.
The ideal candidate will be detail-oriented, experienced in project administration, and capable of supporting planning, documentation, reporting, and site coordination tasks to keep projects running efficiently.
Key Responsibilities1. Project Coordination & Support
Maintain project files, logs, schedules, and documentation across all stages of development.
Prepare minutes of meetings, internal memos, progress reports, and follow-up summaries.
Coordinate with consultants, contractors, suppliers, and other external stakeholders.
Track project milestones, timelines, deliverables, and outstanding actions.
Compile and maintain project dashboards, Gantt charts, trackers, and progress updates.
Support senior staff with feasibility studies, budget preparation, and tender coordination.
2. Document Control & Authority Submissions
Support document control processes in coordination with consultants and contractors.
Handle submission, tracking, and follow-up of project documents with authorities such as:
Dubai Land Department (DLD)
RERA
Trakhees
Dubai Municipality
Other regulatory agencies
Ensure accurate and timely updates of project records, approvals, and correspondences.
3. Communication & Stakeholder Liaison
Act as a communication link between the development team and external consultants (architects, engineers, planners, etc.).
Coordinate and schedule meetings, workshops, site visits, and inspections.
Follow up with stakeholders to ensure timely responses, submissions, and approvals.
4. Site Coordination & Reporting
Assist in organizing site inspections and walkthroughs.
Carry out regular site visits and document progress, HSE issues, and logistical observations through reports and photographic evidence.
Participate in site walks with senior project team members and prepare detailed notes of observations and required actions.
5. Administrative & Organizational Support
Provide administrative and research support to project managers and senior leadership.
Assist in implementing project policies, procedures, and organizational standards.
Support general project administration and other tasks assigned by senior management.
RequirementsEducation
Higher Diploma or Bachelor's Degree.
Experience
5-7 years of experience in project or construction administration, preferably with property developers, project managers, or consultants.
