Job Title: Real Estate Broker Agency Assistant

:

The Broker Agency Assistant plays a pivotal role in supporting the day-to-day operations of the real estate brokerage. This position involves administrative support, client communication, and assisting agents and brokers in various tasks to ensure smooth workflow and exceptional service delivery.

Responsibilities:

Administrative Support:
  • Assist in maintaining office systems, including managing paperwork, filing, and organizing documents.
  • Coordinate appointments, meetings, and travel arrangements for agents and brokers.
  • Handle incoming calls, emails, and inquiries, directing them appropriately.
Client Interaction and Support:
  • Act as a liaison between clients and agents, providing information, scheduling property viewings, and addressing inquiries.
  • Prepare and distribute marketing materials, listings, and relevant property information to clients.
  • Follow up with clients to gather feedback and ensure customer satisfaction.
Transaction Assistance:
  • Assist in the preparation of contracts, agreements, and other transaction-related documents under supervision.
  • Coordinate with title companies, lenders, and other parties involved in real estate transactions.
  • Ensure accuracy and completeness of paperwork throughout the transaction process.
Database Management:
  • Maintain and update client databases, CRM systems, and property listings.
  • Generate reports and compile data as required by agents and management.
Office Support and Team Collaboration:
  • Provide general office support, including ordering supplies, managing office equipment, and handling mail distribution.
  • Collaborate with agents and other staff members to ensure efficient operations.
Qualifications:
  • High school diploma or equivalent; additional education in business administration or real estate is a plus.
  • With 3-5 years of working experience in Real Estate Industry
  • Previous administrative or assistant experience, preferably in a real estate setting.
  • Excellent organizational, time management, and multitasking abilities.
  • Strong communication skills, both written and verbal.
  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and familiarity with CRM systems.
  • Detail-oriented with a proactive and adaptable approach to work.
