Position: Administrative Assistant Location: Dubai, UAE Responsibilities:
Manage the daily administrative tasks to ensure the efficient operation of the office and support real estate agents in their activities.
Supervise and oversee leads generated through various channels, including website inquiries, phone calls, and walk-in clients.
Provide administrative support to real estate agents and other team members, including scheduling appointments, managing calendars, and handling correspondence.
Organize and maintain files, records, and databases related to property listings, client information, and transactions.
Coordinate with clients, vendors, and service providers to facilitate property viewings, inspections, and appointments.
Assist in preparing and editing documents, presentations, and reports related to property listings, contracts, and agreements.
Respond to client inquiries, requests, and complaints promptly and professionally, ensuring excellent customer service and satisfaction.
Assist in marketing and promotional activities, including creating marketing materials, updating property listings on websites and social media platforms, and coordinating advertising campaigns.
Monitor and track leads, inquiries, and client interactions using CRM software or other tracking systems.
Assist in the preparation of rental or sales agreements, lease documents, and other legal paperwork as required.
Support real estate agents in administrative tasks related to property transactions, closings, and client follow-ups.
Perform general office duties, such as ordering supplies, maintaining office equipment, and organizing office spaces.
Requirements:
Bachelor\'s degree in Business Administration, Real Estate, or related field preferred.
Proven experience as an administrative assistant, office administrator, or similar role, preferably in the real estate industry.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong communication and interpersonal skills, with a customer-centric approach and the ability to interact professionally with clients and colleagues.
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and experience with CRM software or database management systems.
Knowledge of real estate industry practices, terminology, and procedures preferred.
Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
Attention to detail and accuracy in data entry, record-keeping, and document management.
Flexibility to adapt to changing priorities and willingness to take on additional responsibilities as needed.
