Roles & Responsibilities:
Administrative Support:
1. Act as the main point of contact for inquiries and concerns related to administrative and real estate matters for office visitors/callers.
2. Keeping up to date with the relevant rental laws set out by RERA and any other guidelines by the land department, municipality and/ or other relevant government authorities.
Real Estate portals & Broker Card:
1. Handling all the real estate related portals, Bayut, Dubizzle, Property finder.
2. Manage the Trakheesi portal.
3. Registering the company on Bayut, Dubbizle and Property Finder. (as per the requirement of the company)
4. Responsible for RERA License & Trakhessi Permit Control and Agents Broker Card Management.
5. Manage property listings and ensure accurate information is posted
Developers Registration:
1. Employee must take care of all the contracts between developers/seller/broker which are contract a,b,f and I..
Social Media Marketing:
1. Arranging permits for the social media marketing
Phootshoots & Videography:
1. Arranging property shoots and videos for the the brokers.
Communication:
1. Efficiently manage all routine correspondence on mail & phone. 2. Coordinate and schedule appointments for property viewings and meetings.
3. Communicate with clients, agents, and other stakeholders.
4. Handle and facilitate all the queries of agents and clients.
5. Managing Whats App groups for internal communication, developers and client updates.
6. Arranging briefing with developers.
7. Ensure timely and efficient updates of all records on property management software including Publish/ add/update units, upload of landlord documents & Tenants' contracts
Documentation Management:
1. Generate timely reports and corresponding analysis.
2. Keep accurate records of all real estate transactions, ensuring that all documentation is complete, updated, and stored securely.
3. Other Company related duties that may be assigned by the management that are consistent with the department and Company mandate.
4. Update and maintain the client database.
5. Prepare reports and presentations for management.
Support to agents/broker:
1. Support agents with the preparation of property documents, forms, contracts, and related paperwork.
2. Support agents with administrative tasks and client follow-ups.
3. Coordinate and assist with open houses and property showings.
Confidentiality:
1. Handle confidential information with discretion.
2. Handle all data from the Company as confidential and shall not disclose them to third parties ties nor use them for personal benefit or competition against the Company.
Extra Tasks: Whatever is assigned as per the requirement and need.
