Role Summary
We are looking for a detail-oriented Real Estate Administrator with previous real-estate experience in the UAE, who will support our Abu Dhabi operations. The candidate will handle administrative, compliance (KYC/due diligence), invoicing/billing, listings, and transaction support in a fast-paced real-estate business.
Key Responsibilities
Manage and file real-estate transaction documentation (contracts, leases, renewals, closings) ensuring completeness and accuracy.
Conduct client onboarding and KYC / due diligence checks: verify identity, ownership records, regulatory compliance per UAE real-estate standards.
Issue and track invoices to clients/vendors, manage payment follow-up, maintain invoicing records and liaise with finance for reconciliations.
Maintain property listings: update and upload to online portals (e.g., Bayut, Dubizzle, Property Finder), monitor status, pricing and availability.
Coordinate with agents, landlords, tenants, vendors to schedule viewings, inspections, handovers, and assist with tenancy contract registration (e.g., EJARI, TRANX/Trakheesi) where applicable.
Maintain CRM, databases and generate reports for management on listing status, transaction pipeline, KYC status, invoicing metrics.
Ensure compliance with local real-estate regulations (e.g., Real Estate Regulatory Agency (RERA) / Abu Dhabi Department of Municipality and Transport (DMT) laws), and internal policies.
Assist with administrative tasks for the real-estate team: scheduling, coordination, documentation, office systems support.
Suggest and help implement process improvements in admin workflows, compliance checks, invoicing and client onboarding.
