The job holder is responsible to work with quality managers to help establish quality control mechanisms, identify risks and define relevant risks mitigation strategies. She/he also develops and implements project standards and frameworks to ensure that its objectives are met and ensure compliance and strict adherence to the ISO Quality Manual.

Key Responsibilities:

Receive Shipments and perform Quality Check

  • Check if shipment is sealed and packed properly and vehicle is fit for transporting goods.
  • Ensure a sample of each batch is secured from the Store Assistant and provide the samples along with the progress report and supplier invoice to the QA Manager for MOH release approval.
  • Provide a discrepancy report to the QA Manager for MOH release approval for any late findings (excess, damaged or expired goods) in the shipment.
  • Coordinate with and supervise the warehouse assistant for sample storage.
  • Ensure the warehouse is kept clean at all times, preparation table is organized and customer orders are separated.
  • Ensure the temperature control mechanism and hygiene standards are maintained in the warehouse.
  • Ensure quick and accurate release of shipments from MOH.
Process Expired/Near Expiry goods
  • Prepare a report of expired/near expiry goods (within 3 months) and submit it to the QA Manager and ensure that concerned items are destructed within a 3 month period.
  • Coordinate with and supervise warehouse assistant to keep the expired/near expiry goods in the designated area.
  • Update oracle system with the new location details.
  • Coordinate with principal companies on the expired/near expiry goods for further action.
  • Supervise the goods disposal process and secure MOH and municipality approvals for destruction.
Monitor and execute SOPs for Warehouse Operations
  • Ensure all SOPs are strictly adhered to in the warehouse operations.
  • Report observed errors in delivery (delays, returns, double orders, wrong orders, batch/expiry differences).
  • Conduct at least 2 pharma agency stock check/month; report results vis-a-vis expiries, lot details vs. qty. in system.
  • Ensure compliance with corporate Health, Safety & Environment (HSE) standards.
Quality Assurance and SOPs
  • Examine packing of goods from cold storage and monitor the Data Logger Report.
  • Conduct random quality check of vehicles, warehouse cleanliness, temperature control mechanism, storage conditions and validity of goods on shelves.
  • Monitor cold items from point of receipt to delivery of goods to customers with data logger results within set temperature limits.
  • Ensure all required licenses and registrations as well as calibration renewals are updated before expiration dates.
  • Ensure compliance to the corporate Policies, Procedures and SOPs.
Investigation of Customer Complaints along with stock investigation
  • Investigate customer complaints & deficiency report and prepare a report specifying the root cause.
  • Update customer complaint report and submit it to the QA Manager.
  • Enhance overall customer satisfaction is at 85%.
Review of ISO Manual
  • Periodic review of AEC ISO Quality Manual in coordination with corp ISO Specialist.
  • Ensure compliance and strict adherence to the ISO Quality Manual.
  • Prepare and submit regular reports on Quality and systems for Management review.
  • Timely revise and update all SOPaEUR(TM)s and ensure on time ISO 9001:2015 training certification.
Qualifications

Bachelors Degree or Higher
