We are Hiring Purchasing Assistant

Duties and Responsibilities

Assist the purchasing officer or procurement officer in sourcing reliable suppliers and vendors. Obtain and compare price quotes, product samples, and specifications. Prepare purchase orders and ensure proper authorization before processing. Follow up with suppliers to confirm order details, delivery schedules, and shipment status. Maintain accurate records of purchases, pricing, and other essential data. Purchase needed materials outside for urgent and emergency flights Monitor inventory levels to ensure timely replenishment of materials or products. Coordinate with warehouse or inventory teams to confirm receipt of goods. Handle returns, exchanges, or replacement of defective or incorrect items. Maintain regular communication with suppliers to build strong working relationships. Track supplier performance (delivery times, quality, reliability). Assist in negotiating contracts, payment terms, and delivery conditions under supervision. Prepare and maintain procurement reports, purchase requisitions, and vendor files. Ensure all purchasing documentation complies with company policies and audit requirements. Liaise with internal departments (e.g., production, finance, logistics) to align purchasing needs. Assist in resolving order discrepancies, payment issues, or delays. Ensure that all purchasing activities comply with company policies and relevant regulations. Assist in quality checks by verifying that received goods meet required specifications. Help identify cost-saving opportunities and process improvements.

Skills and Qualifications

Strong organizational and time management skills. Flexible and can handle stress and long time of works Has a CAN DO attitude Excellent communication and negotiation abilities. Attention to detail and accuracy in data entry. Knowledge of supply chain processes and purchasing principles. Knowledge in Zoho is an advantage
