We are currently seeking a highly organized and proactive individual to join our organization as a Personal Staff Officer. In this role, you will provide comprehensive administrative support and assistance to a senior executive or high-ranking officer. You will play a vital role in ensuring the smooth functioning of the executive's office and facilitating their productivity and efficiency. Responsibilities:
Provide day-to-day administrative support to the executive, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Act as a primary point of contact for the executive, screening and prioritizing phone calls, emails, and other correspondence.
Maintain confidential and sensitive information with utmost discretion and professionalism.
Conduct research, gather data, and prepare reports or briefing materials to assist the executive in decision-making.
Coordinate and manage various projects on behalf of the executive, ensuring timely completion and adherence to objectives.
Assist in event planning and coordination, including logistics, venue selection, and guest management.
Foster effective communication and collaboration between the executive and internal/external stakeholders.
Maintain accurate records, files, and databases, ensuring easy retrieval and organization of information.
Proactively identify and address administrative needs, suggesting improvements and implementing efficient processes.
Uphold a high level of professionalism, confidentiality, and ethical conduct in all interactions and tasks.
Requirements:
Bachelor's degree in business administration, management, or a related field (or equivalent experience).
Proven experience in an administrative or executive support role.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
Proficiency in using productivity tools, such as Microsoft Office suite or similar software.
Exceptional attention to detail and accuracy in all work.
Ability to handle sensitive and confidential information with integrity and discretion.
Strong problem-solving and critical thinking abilities.
Proactive and self-motivated, with a high level of initiative and resourcefulness.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
