Job Description

We are currently seeking a highly organized and proactive individual to join our organization as a Personal Staff Officer. In this role, you will provide comprehensive administrative support and assistance to a senior executive or high-ranking officer. You will play a vital role in ensuring the smooth functioning of the executive's office and facilitating their productivity and efficiency. Responsibilities:
  • Provide day-to-day administrative support to the executive, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as a primary point of contact for the executive, screening and prioritizing phone calls, emails, and other correspondence.
  • Maintain confidential and sensitive information with utmost discretion and professionalism.
  • Conduct research, gather data, and prepare reports or briefing materials to assist the executive in decision-making.
  • Coordinate and manage various projects on behalf of the executive, ensuring timely completion and adherence to objectives.
  • Assist in event planning and coordination, including logistics, venue selection, and guest management.
  • Foster effective communication and collaboration between the executive and internal/external stakeholders.
  • Maintain accurate records, files, and databases, ensuring easy retrieval and organization of information.
  • Proactively identify and address administrative needs, suggesting improvements and implementing efficient processes.
  • Uphold a high level of professionalism, confidentiality, and ethical conduct in all interactions and tasks.
Requirements:
  • Bachelor's degree in business administration, management, or a related field (or equivalent experience).
  • Proven experience in an administrative or executive support role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Proficiency in using productivity tools, such as Microsoft Office suite or similar software.
  • Exceptional attention to detail and accuracy in all work.
  • Ability to handle sensitive and confidential information with integrity and discretion.
  • Strong problem-solving and critical thinking abilities.
  • Proactive and self-motivated, with a high level of initiative and resourcefulness.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
