Job Description

The purpose of a Proposal Coordinator job is to manage and oversee the process of creating and submitting proposals in response to requests for proposals or other solicitations. The primary responsibilities of a Proposal Coordinator typically include pre-qualification documentation, coordination, compliance checks, document management, on-time tender submission etc. The Proposal Coordinator plays a crucial role in the proposal development process by ensuring that proposals are well-organized, compliant, and submitted on time.

Academic Qualification: Degree or diploma in a relevant field CRM (Customer Relationship Management) software knowledge

Professional Experience: 5+ years of experience as a proposal's Technical coordinator in Oil & Gas / Power/Water and Waste water sector

A - PRINCIPAL RESPOSIBILITIES Develop extensive understanding and procedural knowledge of the following, as critical factors to business support function. a. Companys CRM Process and related tools b. Company's business lines, products & services and its organizational structure. Register tender enquiries into company CRM and initiate the work flow for bid/no bid process. Confirm Intent to participate for tenders through customer portal or by email and Update CRM at various stages of the tender. Prepare EOI/ pre-qualification documents for the tender by liaising with estimation team and other departments, and successful submission of the documents within the tender deadline. Technical document preparation support for Tender submissions (Technical qualification letters, method statements, histograms, etc) Experience in preparing Level-3 schedules. In charge of monitoring and maintaining the electronic folders for estimation team. Regularly update project reference list with assistance from project execusion team. Prepare tender submission documents and tender presentations as per instruction from estimation team. List, track and remind upcoming tender submission deadlines and information required for client submission with the estimation team. Engage with clients and participate in pre-bid meetings, conferences, and other relevant events to gain insights into client requirements for tender submissions. Follow up with sub vendors on the RFQs send by estimation team for timely receipt of quotations. Set up and maintain log for all quotations received. Prepare tender summary presentations for management review based on the input received from proposal engineers. Receive lessons learnt from the operations & proposals team and record them in Lessons learned data bank. Contributing to the development and maintenance of standard proposal material. Developing and maintaining collaborative relationship with all stakeholders. Support in formatting, editing, and proofreading efforts. Assit in developing non-technical parts of the proposals. Ensure quality content and appearance of final proposal deliverables in line with company branding. Support in other administrative tasks as and when required. Produce proposals summary report on periodic basis. Cover for the central business support team as and when required
