The Property & CRM Administrator plays a key role in supporting the day-to-day operations of the real estate brokerage by managing property listings, maintaining accurate data within the CRM system, and ensuring seamless coordination between the sales, marketing, and administrative teams. The ideal candidate is detail-oriented, tech-savvy, and well-versed in property portals and CRM systems used within the UAE real estate market.
Upload and update property listings on company CRM and real estate portals (e.g., Property Finder, Bayut, Dubizzle, Houza).
Ensure all listings are accurate, well-presented, and compliant with RERA guidelines.
Coordinate with agents to collect property details, photos, and relevant documentation.
Track listing expirations and renew or remove as required.
Maintain a comprehensive digital database of all property listings and documentation.
2. CRM Administration
Manage, maintain, and update leads, client records, and property data in the CRM system.
Assign leads to agents and track progress to ensure timely follow-ups.
Generate CRM-based reports for management (e.g., leads performance, listings activity, and agent productivity).
Train new agents on CRM usage, property uploading, and lead management procedures.
Troubleshoot CRM-related issues and coordinate with system support when needed.
3. Coordination & Communication
Liaise with agents, photographers, and marketing teams to ensure listings meet branding standards.
Support compliance by ensuring all property and agent documents are valid and up to date (e.g., Form A, title deeds, permits).
Assist with property marketing campaigns and content coordination across digital platforms.
Provide administrative support to the management team as needed.
4. Reporting & Compliance
Prepare regular reports on listing performance, lead conversion, and portal usage.
Ensure RERA and DLD requirements are adhered to in all property-related activities.
Support in maintaining up-to-date company listings and agent profiles on portals and company website.
Requirements:
Education:
Bachelor's Degree in Business Administration, Real Estate, or related field.
Experience:
Minimum 2-3 years of experience in a similar administrative or CRM role within a real estate brokerage in the UAE.
Technical Skills:
Strong knowledge of real estate CRMs (e.g., PropSpace, Masterkey, Yardi, Salesforce).
Proficient in MS Office (Excel, Word, Outlook).
Experience with real estate portals (Property Finder, Bayut, Dubizzle, etc.).
Other Skills:
Strong organizational and multitasking abilities.
Excellent communication skills (English required; Arabic is a plus).
Attention to detail and accuracy in data management.
Ability to work independently and meet deadlines.
Preferred Qualifications:
Knowledge of RERA forms and Dubai Land Department procedures.
Familiarity with lead generation tracking and reporting.
Experience supporting a sales or marketing team in the real estate sector.
