: InvesQ Property Brokerage L.L.C is seeking an experienced Property Admin to join our team. Job Responsibilities: \xe2\x80\x93 Coordinate and manage the property management portfolio.
\xe2\x80\x93 Implement and supervise daily operations.
\xe2\x80\x93 Perform administrative tasks, including answering phones, filing, mailing, scanning, preparing and tracking all property and tenancy contracts, agreements, and forms.
\xe2\x80\x93 Assist in handling rent payments and refunds.
\xe2\x80\x93 Manage, track, and upload documentations such as contracts, agreements, and forms into internal systems.
\xe2\x80\x93 Provide support to the team by producing, modifying, and/or distributing various property management related forms, spreadsheets, manuals, and information packets.
\xe2\x80\x93 Handle and manage lease renewal processes.
\xe2\x80\x93 Assist the property management team by promoting, establishing, and maintaining positive relations with the tenants.
\xe2\x80\x93 Negotiate and coordinate with contractors to reach reasonable costs to benefit landlords and tenants.
\xe2\x80\x93 Be the main point of contact for tenants, landlords, and contractors.
\xe2\x80\x93 Handle utility, service charge, and billing concerns of landlords and tenants.
\xe2\x80\x93 Coordinate internal and external agents to actively acquire more properties to manage.
\xe2\x80\x93 Cold call, email, and market to find owners of properties we can manage.
\xe2\x80\x93 Cold call, email, and market to find tenants to fill our managed properties.
\xe2\x80\x93 Collaborate with the marketing department for advertising and website management.
\xe2\x80\x93 Process correspondence with tenants, contractors, and other third parties for property management.
\xe2\x80\x93 Build tenant relationships and increase tenant retention through responsive actions to maintenance, housekeeping, and minor renovation requests.
\xe2\x80\x93 Provide notices to tenants regarding various visits and inspections.
\xe2\x80\x93 Conduct and manage move-in and move-out inspections.
\xe2\x80\x93 Attest non-renewing clients.
\xe2\x80\x93 Maintain owner and tenant records, files, etc.
\xe2\x80\x93 Prepare owner and tenant correspondence to include email, newsletter, announcements, and other mailings, including facilitating onboarding for new property owners and tenants.
\xe2\x80\x93 Mediate tenants, contractors, maintenance, and property management team to resolve issues, if any. Qualifications: \xe2\x80\x93 Minimum 3 years of experience in real estate property management coordination and administration.
\xe2\x80\x93 Immediate availability to join.
\xe2\x80\x93 Excellent written and verbal communication skills.
\xe2\x80\x93 Hands-on experience managing and coordinating properties.
\xe2\x80\x93 Knowledge of Trakheesi System, Dubai Rest, and property advertising platforms such as Property Finder, Bayut, and Dubizzle.
\xe2\x80\x93 Proficient in preparing tenancy and leasing forms/agreements/contracts (MOUs, rent and sales agreements) and undertaking letters, Propspace, Mycrm, and Broker Pad.
\xe2\x80\x93 Able to work independently and as part of a team.
\xe2\x80\x93 Able to work under pressure.
\xe2\x80\x93 Proficient in MS software and Adobe.
\xe2\x80\x93 Demonstrates ability to assist senior management and sales team with any additional work as needed.
\xe2\x80\x93 Strong work ethic and eager to learn and make new sales with customers, including add-on services.
\xe2\x80\x93 Strongly skilled in organization, problem-solving, customer service, and multitasking while being committed to excellence. Job Type: Full-time Ability to commute/relocate:
