Job Description

Function

The Project Secretary & Logistics reporting to (TBD) Manager will be an integral part of AIP Project Management Team, working collaboratively within the AIP organisation, systems, procedures, and methods.

\xe2\x80\x93 Support the (TBD) Manager in executing local administrative responsibilities

\xe2\x80\x93 Organise meetings and other project gatherings

\xe2\x80\x93 Assist in producing and reviewing documents related to the project

\xe2\x80\x93 Manage and issue Action status reports as required support from the project management team

\xe2\x80\x93 Manage, author and issue Minutes of Meetings

\xe2\x80\x93 Follow up on information and communication flow

\xe2\x80\x93 continuously update the Rosebank SharePoint Collaboration and other project information systems as required

\xe2\x80\x93 Support on approval of travels, and arrange travels related to the project

\xe2\x80\x93 Keep control of office logistics and travel logistics

\xe2\x80\x93 Manage and coordinate the project vacation plan

\xe2\x80\x93 Keep updated contact lists

\xe2\x80\x93 Support in update of the organisational charts

\xe2\x80\x93 Coordinate rotation plan for Altera Rosebank Team

\xe2\x80\x93 Keep office spaces in order

\xe2\x80\x93 Coordinate with the yard office responsible if support or maintenance is required

\xe2\x80\x93 General administrative support as requested

Requirements

\xe2\x80\x93 Minimum of 4 year of project experience

\xe2\x80\x93 Ability to handle multiple highly detailed tasks, determine priorities and organize work in a manner that allows for timely completion of projects

\xe2\x80\x93 Proactive and solution oriented approach

\xe2\x80\x93 Dynamic, hands-on person, meticulous and high attention to details.

\xe2\x80\x93 Excellent oral presentation and written communication skills.

\xe2\x80\x93 Good co-operation and interpersonal skills

\xe2\x80\x93 Able to work effective and organized

\xe2\x80\x93 Ability to motivate and communicate

\xe2\x80\x93 Excellent computer skills; Microsoft Office (including Word, Excel, PowerPoint, Outlook) and Internet.
