Project Manager – Conferences & Events

Job Description

Summary:

The Project Manager - Conferences & Events is responsible for leading the planning and

delivery of major conferences and wide events. This role acts as a central point of

coordination across divisions, administrative units, and external partners to ensure that

each project is executed on time, within scope, and in alignment with the company's

strategic goals. The ideal candidate is detail-oriented, proactive, and experienced in

managing multi-stakeholder initiatives in a fast-paced environment.

Key Responsibilities:



Serve as the primary project lead for large-scale conferences and major events. Coordinate with leads and departments to define conference goals, scope, deliverables, and timelines. Develop detailed project plans, track tasks, and monitor progress to ensure timely and successful execution. Collaborate with colleagues to develop website content, communications, and branding materials related to conferences and events. Responsible for space booking, coordinating catering services, arranging facilities and setup. Coordinate with the company's safety and protocol teams to ensure alignment with regulations and standards. Lead cross-departmental planning meetings and maintain strong communication across all stakeholders. Oversee production schedules, venue logistics, speaker coordination, vendor management, and delegate experiences. Manage external partnerships and service providers, including issuing RFPs, negotiating contracts, and ensuring service delivery meets company standards. Manage and raise purchase requisitions, process payments, and obtain necessary approvals and permits, including EHS-related approvals. Ensure events are aligned with organizational values, including cultural awareness, sustainability, and inclusion. Provide on-site management during events and manage real-time problem-solving and contingency planning. Track and report on key event metrics and prepare post-event evaluations and debriefs. Maintain budgets and templates for future events to support consistency and continuous improvement.

Qualifications:



Bachelor's degree in Project Management, Hospitality, Events, or a related field. Minimum 5 years of experience in event or project management, ideally within an educational entity. Strong understanding of conference planning, including managing logistics, programming, and audience engagement. Proven ability to manage complex projects with multiple stakeholders and competing priorities. Exceptional organizational skills, attention to detail, and time management. Excellent communication and interpersonal skills, with the ability to work across departments and administrative units. Proficiency in project management tools (e.g., Monday.com). Ability to lead calmly and effectively under pressure during live event execution.

Pay: AED9,000.00 - AED10,000.00 per month
