Core Purpose




The Project Executive supports the execution of technical and logistical aspects of events and exhibitions under the guidance of senior team members. This role involves assisting in the coordination of production elements such as staging, AV, lighting, rigging, power, and scenic fabrication. The Production Executive helps translate production plans into actionable tasks, liaises with vendors, and provides on-site support during setup and dismantle. The ideal candidate is detail-oriented, hands-on, and eager to learn, with strong communication and multitasking abilities.

Key Responsibilities




Production Planning & Technical Coordination

Support the Production Manager in developing production strategies, technical plans, and execution schedules for events and exhibitions. Translate creative and design briefs into detailed production plans, including equipment lists, technical specs, and timelines. Conduct and lead site visits and technical assessments to evaluate venue suitability, infrastructure, and logistical considerations. Recommend suitable production methods, materials, and technology to enhance project feasibility and quality.


Vendor & Supplier Management

Coordinate with production vendors (e.g., AV companies, staging contractors, riggers, fabricators) to align on scopes, timelines, and deliverables. Review technical proposals and fabrication drawings for accuracy and feasibility. Supervise vendor performance both off-site during fabrication and on-site during installation, ensuring quality and timeline compliance.

On-Site Management & Execution

Assist on-site production activities for assigned projects, including equipment setup, power distribution, and crew supervision. Ensure all technical elements are installed and operated in accordance with design and safety standards. Act as the on-site production lead when the Production Manager is unavailable, managing real-time issue resolution and crew coordination. Support technical rehearsals and event operations, ensuring seamless production flow and client satisfaction.

Logistics & Operations

Help prepare logistical plans, transport schedules, and storage requirements for equipment and materials. Coordinate with warehouse teams, transport vendors, and site operations teams to ensure timely load-in and load-out. Track production inventory, tools, and rental equipment across project timelines.

Health, Safety & Compliance

Assist in preparing risk assessments and ensure all production elements comply with safety standards and government regulations Assist with on-site safety briefings and enforce safe working practices among production teams and vendors. Coordinate with venue security and facilities teams to ensure smooth and compliant production setup.

On-Site Execution Support

Support the Production Manager and Technical Director during setup, rehearsals, and event days. Assist in supervising vendors, crews, and suppliers on-site, ensuring proper execution according to plans and safety standards.

Post-Event & Quality Review

Conduct post-event production debriefs with internal teams and key suppliers. Prepare comprehensive post-production reports and recommendations for future events. Archive project materials, including drawings, permits, and close-out documentation.


Education:

Bachelor's degree in Event Production, Audio Visual Technology, Engineering, or a related field (or equivalent practical experience).

Experience:

0-2 years of experience in event production or technical coordination within the events, exhibitions, or entertainment industry (internships or freelance projects included). Exposure to basic production elements such as AV, lighting, staging, or fabrication is preferred.

Skills:

Strong organisational and coordination abilities with attention to detail. Eagerness to learn technical terms, production workflows, and on-site protocols. Good communication and interpersonal skills to support vendor and team coordination. Proficiency in Microsoft Office Suite; basic knowledge of AutoCAD or SketchUp is an advantage. Willingness to work flexible hours, including weekends and site installations. Understanding of basic safety practices on-site is a plus.
