is responsible for accurately estimating the costs, materials, manpower, and logistics required for weddings and large-scale events. This role ensures that all project budgets are realistic, competitive, and profitable while maintaining the company's high-quality standards.
The Estimator collaborates with event planners, production teams, vendors, and clients to develop comprehensive cost proposals and ensure projects are delivered within budget.
Key Responsibilities:
1. Cost Estimation & Budgeting
Prepare detailed cost estimates for weddings, events, and production setups.
Calculate expenses related to decor, stage design, lighting, sound, catering, furniture, staff, logistics, and venue setup.
Develop and maintain cost databases and pricing templates for accurate and consistent estimates.
Evaluate supplier quotations and ensure best pricing without compromising quality.
2. Project Coordination & Analysis
Work closely with project managers and event planners to understand client requirements and event concepts.
Prepare cost comparisons and recommend cost-effective alternatives when required.
Track actual project costs versus estimated budgets and report variances.
Support the sales and operations teams during client proposal and tender submission.
3. Supplier & Vendor Management
Source and negotiate with suppliers to obtain competitive rates.
Maintain relationships with vendors for decor, technical equipment, rentals, and logistics.
Evaluate vendor performance and pricing regularly.
4. Documentation & Reporting
Create professional BOQs (Bills of Quantities), cost sheets, and quotations.
Prepare financial summaries and profitability reports post-event.
Maintain organized records of all project cost data for audit and forecasting purposes.
Qualifications & Skills Required:
Bachelor's degree in Event Management, Engineering, Business, or related field.
Minimum 3-5 years
of experience as an estimator or cost controller in event production, weddings, or construction fit-out.
Strong understanding of event setup materials, AV equipment, decor elements, and logistics.
Excellent Excel and budgeting software skills.
Strong analytical and negotiation skills.
High attention to detail and accuracy.
Ability to work under pressure and meet tight deadlines.
Good communication and teamwork skills.
Fluency in English required; Arabic is a plus.
UAE driving license preferred.

Accuracy of cost estimates (variance <10% from actuals).
Timeliness of quote delivery.
Project profitability ratios.
Supplier cost optimization.
Client and internal team satisfaction.
